Position Overview:

The Human Resources & Operations Officer plays a key role in supporting both the HR function and operational needs of a busy, fast-paced insurance building company.

This dynamic role is suited to someone who thrives in a high-volume environment, demonstrates exceptional attention to detail, and can manage competing priorities with efficiency. The role involves coordinating day-to-day HR and WHS tasks, supporting subcontractor compliance, facilitating meetings, and ensuring smooth operational workflows across the business.

A high level of professionalism and strict confidentiality is essential, as this role handles sensitive employee, business, and compliance information. The successful candidate will be proactive, organised, and capable of balancing multiple responsibilities while ensuring accuracy, discretion, and alignment with business goals.

Key Responsibilities:

Human Resources

Coordinate recruitment, onboarding, and induction processes.

Maintain and update employee records, contracts, and HR documentation.

Provide first-level advice to managers and staff on HR matters, including policies, procedures, and performance management.

Create, review, and update Position Descriptions and KPI documentation, ensuring alignment with business needs.

Create and monitor individual professional development plans to support employee growth and capability building.

Support the coordination of training, development, and employee engagement initiatives.

Assist in the implementation of HR projects and initiatives, including policy reviews and cultural programs.

Maintain document control processes, ensuring that all HR and operational documents are current, accessible, and compliant.

Prepare HR-related reports and correspondence as required.

Work Health and Safety

Implement and monitor WHS policies, procedures, and systems across the organisation.

Coordinate incident reporting and assist with investigations, documentation, and corrective actions.

Schedule and record WHS training and inductions.

Coordinate WHS training, including inductions, and refresher courses.

Maintain WHS registers, records, and compliance documentation.

Support site inspections and support risk assessments and compliance audits.

Source and work in conjunction with external WHS consultants to support audits, training, and continuous improvement of the safety management system.

Promote a safety-first culture across all levels of the business.

Business Operations:

Assist in the development and implementation of operational policies and procedures.

Coordinate and support departments and management meetings, including preparing agendas, taking minutes, and following up on actions.

Monitor and maintain registers for equipment, training, licences, and insurances.

Provide HR & Operational support to the management team.

Coordinate office and site operational needs, including procurement and logistics

Key Relationships:

Internal: All employees, department managers, executive team

External: WHS consultants, subcontractors, training providers, recruitment agencies, regulatory bodies

Qualifications & Experience:

Qualification in Human Resources, Business, WHS, or a related field (Cert IV or higher).

Minimum 2 years’ experience in an HR, operations, or compliance support role.

Sound knowledge of employment and WHS legislation.

Experience working with subcontractors and compliance processes.

WHS qualification (Cert IV or equivalent) is desirable but not essential.

Experience in construction, insurance building, or a field-based industry is highly regarded.

Ability to manage multiple priorities and meet deadlines.

Confident using Microsoft Office and HR/Compliance systems.
