ABOUT THE ROLE
We are seeking a highly organized and proactive Tour Account Manager to coordinate tour logistics, supplier relationships, itinerary planning, and account management for our extended tours, group bookings, and annual public programmes. This role combines operational logistics, creative itinerary development, and customer relationship management, ensuring seamless travel experiences for our clients and partners.
WE ARE OPEN TO PART TIME / PERMANENT (4 Days Per week)
Key responsibilities include but are not limited to:
Tour Logistics and Coordination
Book accommodation, transport, and all required suppliers for assigned extended tours. Collaborate with internal teams to coordinate itinerary details and create driver notes for allocated extended tours. Compile detailed shopping and packing preparation instructions for tour preparation. Prepare, maintain and distribute tour driver itineraries, confirmations, and necessary travel documentation with accuracy. Communicate with restaurants and other key suppliers to ensure service standards are consistently met. Assist with coordination and management of domestic senior group travel itineraries, including accommodations, transportation, activities and National Park permits. Maintaining detailed records and documentation of all travel and tour arrangements.
Account Management
Manage a portfolio of club accounts, handling group bookings, follow-ups, and key communications with tour leaders. Ensure timely distribution of invoices, rooming lists, and other documentation to customers and suppliers. Client phone calls and emails. Taking enquires, providing exceptional booking and customer services to our values customers. Creating a space where customers feel welcomed and valued through active listening, mutual respect and a positive attitude
Itinerary Design and Creation
Build, Design and research new customised tour itineraries for group bookings and clubs, ensuring that trips are tailored to customer needs. Work closely with internal stakeholders to ensure smooth transitions from itinerary planning to on-the-ground execution.
Problem Solving
Address any customer and operational issues that arise, providing timely and professional solutions to ensure a smooth and enjoyable travel experience. Use creativity to ensure we resolve an issue and turn it into an opportunity to provide an even better experience.
Team and Supplier Relations
Communicating effectively with office team, suppliers and tour drivers to ensure the seamless delivery of exceptional travel experiences. Establish and maintain relationships with multiple travel service providers.
ABOUT YOU
We’re looking for a travel passionate person with:
High degree of precision and attention to detail
Excellent communication, organisational and problem-solving skills
Experienced in working to deadlines, being able to organise and prioritise work effectively
Preferred to have a previous position in travel coordination, Sales Account Management/ Customer Service or a similar travel industry related role.
Proven ability to listen to customer needs, exceed expectations and provide outstanding customer service / support for operations in a friendly manner
Proficiency Microsoft Office Suite - specifically word and excel.
Demonstrate strong teamwork while maintaining the ability to work autonomously. Open and adaptable to changing priorities and demands
