As we continue to grow, we’re looking to welcome a Practice Manager who’s organised, emotionally intelligent, and ready to help the practice run smoothly, with a calm presence and a collaborative spirit.

About the Role

This is a part-time position (25 hours/week), ideally spread across Monday to Friday, with occasional Saturday support. This role offers hybrid flexibility with a mix of in-practice and remote hours and is designed to grow alongside you in hours, scope, and leadership, as the practice evolves.

This role involves a mix of operational support, client-facing tasks, team coordination, and project work. You’ll be working closely with our Director (Dr Shaun Tan), clinicians, and external collaborators to ensure things run smoothly behind the scenes, and feel welcoming and clear for our clients.

In this role, you’ll:

Support our clients with warmth and professionalism - answering enquiries, managing bookings, and creating a calm point of contact

Coordinate schedules, waitlists, onboarding, and admin processes

Assist with Medicare, invoicing, and third-party billing

Help maintain systems and workflows that keep the team connected and supported

Contribute to team communications, onboarding, and internal processes

Coordinate referrer outreach, blog posts, and marketing projects

Help with thoughtful touches like welcome packs, community events, and GP follow-ups

Bring thoughtfulness, reliability, and leadership to the everyday flow of the practice

Have previous practice management or team coordination experience in psychology or allied health admin
