We’re seeking two part-time Personal Assistants in Brisbane to support our collaborative founder with key operational and engagement tasks—like outreach visit support, event planning, and admin coordination, freeing them up for clinical care, strategic growth projects and family time.

In our first two years, we grew fast and learned a lot. Now, with smarter systems and automation in place, we’re rebuilding intentionally—with a clear plan to scale to 32 hubs, supported by a small, focused team.

You’ll be part of the foundation. Two PAs will share the workload to ensure a balanced, manageable schedule—and help shape a company that brings life-changing care to kids, one confident smile at a time.

Key Responsibilities

Right-Hand to the Founder: Partner with our collaborative founder, handling logistics, admin, and growth projects to free them for clinical and strategic work. Tasks are prioritised, with clinical support and logistics as your core focus, and events as needed.

Chair side Support: Assist clinicians chair side, restock supplies, take notes, and make every visit a joyful experience for kids and staff.

Community & Relationship Builder: Build lasting connections with parents, outreach teams, and community partners. Represent NDSA with warmth at outreach visits and small-scale events.

Operations Whiz: Manage appointments, confirm consents, handle stock checks, and keep records tidy using tools like Praktika and Google Suite.

Growth Catalyst: Contribute to systems (e.g., SOPs, onboarding packs) and share ideas to streamline operations as we scale to 32 hubs.

Qualifications & Skills

Essential:

Mega-organised with a talent for multitasking and staying cool in a fast-paced environment.

Stellar communicator—great with kids, parents, and outreach staff, with a knack for customer service.

Reliable, diligent, and committed to NDSA’s core tenets of excellence, integrity, and teamwork.

Valid driver’s license and ability to travel to different locations in Brisbane if required.

Tech-savvy, comfortable with Google Suite, Google appscripts and learning new software.

Preferred:

Experience as a dental assistant, personal assistant, or in healthcare admin.

Familiarity with Australian dental terminology or software like Praktika.

First aid certification (or willingness to get one).

Event planning or coordination experience (e.g., workshops, community events)

Experience with Google Apps Script is a bonus—but not required. We’ll provide all the training you need to level up fast.

Requirements
