As our business and our teams continue to grow, we invite you to join our Purchasing team as Purchasing and Stores Administrator Full-Time.

Your Day-to-Day

This is a combined role of Purchasing Administration and also assisting the Purchasing & Stores team in managing and delivering goods arriving at the Hotel.

Administration

Accurately enter received delivery into Purchasing system

Assist the Purchasing Officer with placing orders, tracking deliveries, and supplier communications

Accurately receive the PO in Procurement System

Match invoices to purchase orders and liaise with suppliers and department head on any discrepancies

Code, process, and manage all supplier invoices and credits in the Procurement System

Investigate and resolve stock, invoice, or product code discrepancies

Create and maintain vendors in Purchasing system and financial system

Resolving any vendor inquiries or issues in a timely and professional manner

Weekly review open PO and other Purchase order status and liaise with suppliers and department head on any enquiries

Resolve any issues that may arise with suppliers or deliveries;

Assist with monthly and ad-hoc stocktakes including counting, reconciliation, variance investigation, and report generation.

Physical receiving products on the loading dock

Assist with Purchasing officer and manager to accurately receive products physically from suppliers delivery.

Oversee the accurate receipt and inspection of goods, ensuring quantity, quality, and compliance with specifications.

Manage distribution of received goods to appropriate departments promptly and correctly.

Maintain storerooms and receiving areas in a clean, organised, and compliant manner to meet food safety (HACCP) and WH&S standards

What We Need from You

Previous experience in a similar role is desirable, but a willingness to learn is just as important

Ability to carry out hands-on tasks requiring a high level of physical fitness, as this role involves a high volume of deliveries each day

A proactive attitude with initiative, strong attention to detail, and the ability to work under pressure

Physical fitness – you’ll be both doing admin tasks but also assisting the team with deliveries of the day, so must be fit for with frequent bending and kneeling. You may also be required to lift, push, and pull items such as crates weighing up to 50lbs (23 kg) – equipment is provided to support you

Excellent computer skills and high attention to detail for processing documentation in the Future Log procurement system

You must meet the legal requirements to live and work in Australia
