Overview

We are looking for a detail-oriented and proactive Project Manager to oversee and deliver property-related capital works, refurbishments, and compliance projects across our portfolio. This role is responsible for managing project timelines, consultant outputs, stakeholder expectations, and regulatory obligations to ensure seamless execution from planning through to completion.

Key Responsibilities

Project Oversight & Delivery

Manage project programs, milestones, and deliverables with precision and urgency. Be responsible for end-to-end delivery of speculative fit outs, amenities upgrades, and building works.

Oversee consultant outputs to ensure alignment with project objectives and quality standards.

Coordinate normal hours and after-hours site activities, ensuring minimal disruption and full compliance.

Identify scope changes early and manage associated risks through proactive planning and stakeholder engagement.

Stakeholder & Consultant Management

Participate in site visits, stakeholder meetings, and council or authority engagements.

Coordinate internal departments, external consultants, and contractors to ensure project alignment and execution.

Ensure that all works comply with planning approvals, building codes, and relevant legislation.

Liaise with asset managers, tenants, and consultants to ensure alignment of project objectives.

Site Coordination

Lead day-to-day site operations in close collaboration with the Site Supervisor.

Ensure compliance with base building fit out guides and regulatory standards.

Manage site access, material deliveries, and sequencing of trades to avoid delays.

Communication & Coordination

Communicate effectively with all internal and external parties, ensuring no detail is missed or misinterpreted.

Prepare and present project updates, dashboards, and risk reports to senior management.

Maintain clear documentation and version control across all project correspondence.

Engage and manage subcontractors throughout the full project lifecycle.

Conduct contractor inductions, toolbox talks, and ensure adherence to safety and site protocols.

Liaise with asset managers, tenants, and consultants to ensure alignment of project objectives.

Risk & Change Management

Monitor project risks, implement mitigation strategies, and adjust timelines or scopes where necessary.

Proactively manage project changes, ensuring that all adjustments are documented, approved, and integrated seamlessly.

Compliance & Quality Assurance

Ensure projects adhere to WHS regulations, environmental standards, and company policies.

Conduct on-site quality checks and collaborate with contractors to resolve defects or delays.

Understand and implement cold shell and warm shell requirements in line with project scope.

Review contractor outputs and site quality to ensure alignment with high-end design expectations.

Ensure project documentation, inspections, and handover materials are complete and compliant.

Reporting & Systems

Use platforms such as Procore, Buildlogic, and Yardi for reporting, program tracking, and document control.

Prepare and submit regular updates to the Senior Project Manager, flagging risks or program changes proactively.

Key Requirements & Qualifications

Tertiary qualifications in Project Management, Property, Construction, or related discipline.

Minimum 5 years’ experience managing property, construction, or fit-out projects.

Strong stakeholder engagement skills, with proven experience in council and regulatory communications.

Proficiency in project management software (e.g., Yardi, MS Project, Procore, Aconex).

Excellent attention to detail, problem-solving ability, and decision-making under pressure.

Strong communication and stakeholder engagement skills.

Ability to multitask and manage multiple fit out sites or trades simultaneously.

A proactive and eager mindset, with a desire to grow into premium or high-end fit out delivery.

Exposure to DA/compliance documentation processes and council engagement is a plus.
