What You'll Do: Drive Project Success from Start to Finish

As a Project Delivery Lead at Xzibit, you will be the driving force behind the successful and seamless delivery of our exciting projects. With a strong operational focus, you'll be responsible for the entire project lifecycle, from initial briefing to final handover, ensuring projects are completed efficiently, to the highest quality standards, and with a keen eye on the bottom line. Your key responsibilities will include:

Operational Project Quoting: Accurately developing comprehensive project quotes that reflect real-world operational costs and resource allocation.

End-to-End Coordination: Effectively coordinating internal teams (design, AV, production, installation) and external stakeholders (clients, contractors, suppliers) to ensure a smooth workflow.

Robust Project Planning: Creating detailed timelines, resource allocation plans, and communication strategies that prioritize efficient execution and mitigate delays.

Rigorous Budget Management: Monitoring project costs, tracking expenditure, and ensuring financial targets are met through proactive management.

Strategic Supplier Management: Identifying, sourcing, negotiating with, and meticulously overseeing external vendors and contractors to ensure timely and cost-effective delivery of their services and materials, with a focus on operational efficiency.

Proactive Risk Mitigation: Identifying potential operational risks and developing proactive strategies to prevent disruptions and ensure project continuity.

Clear Stakeholder Communication: Building strong relationships with clients, providing regular and transparent updates, and managing expectations to ensure satisfaction.

Uncompromising Quality Assurance: Ensuring all work meets Xzibit's high standards and client specifications, with a focus on the final delivered product.

Swift Problem-Solving: Proactively identifying and resolving any operational issues that arise during the project lifecycle to keep projects on track.

Thorough Reporting & Documentation: Maintaining accurate project records and providing regular progress reports that highlight key delivery metrics.

What You'll Bring: Your Expertise in Operational Project Delivery

Proven Experience (3+ years) in Project Delivery, specifically within the retail shopfitting, museum, galleries or commercial fitout sectors.

Exceptional Organisational Skills: The ability to manage multiple projects simultaneously, prioritize tasks, and maintain meticulous attention to detail in a fast-paced operational environment.

Strong Communication & Negotiation Skills: The ability to clearly convey project status, negotiate effectively with suppliers, and manage client expectations.

A Solutions-Oriented Approach: A proactive mindset with excellent problem-solving abilities, particularly in overcoming operational challenges.

Demonstrated Ability to Develop Accurate Project Quotes: Experience in creating realistic and competitive quotes that account for all operational aspects of a project.

Expertise in Managing Third-Party Suppliers: A track record of successfully coordinating and overseeing a variety of external vendors and contractors to ensure timely and cost-effective delivery.

Proficiency in Project Management Software and Methodologies: Experience with tools and techniques that support efficient project delivery.

A Keen Eye for Detail: A commitment to delivering high-quality results and ensuring every aspect of the project is executed flawlessly.

Adaptability in a Dynamic Environment: The ability to thrive in a collaborative and fast-changing project landscape.

Bonus Points For:

Experience working on exhibition, museum, gallery, or experience centre projects.

Relevant project management certifications.
