We are seeking a proactive and highly organised Executive Assistant & Project Support professional to provide dedicated support to the MD and the senior leadership team. You will play a central role in the smooth running of day-to-day Agency operations and contribute to the growth of the agency. This role combines high-level executive assistance with hands-on office and operational management, project coordination and internal team support. Part-time is 4-5 hours a day, 5 days a week.
You will be instrumental in managing executive workflows, overseeing office and IT administration, supporting client and prospect engagement and ensuring seamless coordination across select client projects and internal processes. This is a dynamic, fast-paced role that requires excellent multitasking ability, attention to detail, and strong communication skills.

Key Responsibilities
Daily Executive & Administrative Support
Provide extensive administrative support to the MD, including diary, scheduling and inbox management
Prepare daily check-ins with the Managing Director to align on executive tasks, priorities and scheduling.
Acts as a buffer, screening and managing communication flow to minimise distractions and interruptions
Answer the office switchboard and direct calls to the appropriate team member. Manage general inquiries, provide basic information to callers and act as the first point of contact for external stakeholders.
Operations Management
Oversee day-to-day operational needs to ensure the office runs smoothly and efficiently, handling ad hoc tasks as they arise.
Liaises with finance, IT and other departments to ensure the smooth running of the agency
Develops processes and systems to improve agency efficiencies
Works with the MD to grow the agency
Prospect Client Management & RFP Support (Vital)
Review and track prospective clients
Coordinate initial contact with prospects, including scheduling meetings with the Managing Director when required. Attend meetings and take notes.
Support the MD with proposal development and tenders submissions
Support proposal development by preparing professional slide decks
New Client Onboarding (supporting the digital team)
Manage the end-to-end onboarding process for new clients
Coordinate and schedule client kick-off meetings. Setting up client dashboards.
Staffing & Onboarding
Oversee onboarding for new staff members—both offshore and in-office—ensuring a smooth transition into the team.
Coordinate IT setup, systems access and induction training, including tools, platforms and internal processes.
Qualifications & Skills
· 3+ years’ experience in an Executive Assistant or similar role. Experience in an advertising agency is advantageous
· Excellent written and spoken English
· Commercially sharp with incredible attention to detail
· Experience preparing proposals, tenders and pitch documents
· Excellent organisation and communication skills with the ability to manage shifting priorities.
· Advanced skills in Microsoft Outlook, Word, PowerPoint, and Excel
· Experience with digital marketing platforms is a plus.
· Proactive, detail-oriented, and capable of working independently.
· Professional, calm under pressure and able to maintain confidentiality.
· Comfortable working with a small team and flexible in handling varied responsibilities.
· Strong interpersonal skills and a can-do attitude.
· Familiarity with tools such as Asana, Jira, Monday.com, Streamtime or other tools advantageous.
