Position Title: Executive Officer
Organisation: The Youth Impact Foundation
Location: NSW-based (aligned with the CEO’s location)
Role Type: Full-time or 0.8 FTE
Reports to: CEO
Salary: $80k–$90k + super (based on experience and Award)

We’re seeking a values-aligned, capable Executive Officer, someone experienced in strategic support (e.g., Executive Assistant, Operations, Executive Support Officer), who’s ready to step into broader responsibilities. You don’t need decades of experience, but you do need the confidence to work alongside senior leaders, manage cross-functional projects, and thrive in a mission-driven environment.
This role blends executive-level support with more complex responsibilities - such as stakeholder management, governance coordination, and project leadership. Ideal for someone who brings clarity, initiative, and follow-through to dynamic work.

What You’ll Do
This is a dynamic, multi-layered role requiring strong communication skills, sound judgment, and attention to both the big picture and the details.
Executive & Strategic Support
Act as a trusted advisor to the CEO
Draft clear, concise internal and external documents, reports, and presentations
Manage the CEO’s calendar, travel, and priority management
Oversee and triage the CEO’s inbox; draft and coordinate timely responses
Set agendas, take minutes, and follow up on key meetings
Support the Executive Team with time-sensitive tasks and strategy work
Communicate on behalf of the CEO and Executive Team as needed
Fundraising, Funder & Stakeholder Relations
Assist with drafting and preparing grant applications, acquittals, and reports
Research prospective funders and manage a grant/relationship calendar
Track stakeholder engagement and correspondence
Maintain CRM/funder records with accuracy
Support development of funder updates and stakeholder newsletters
Lead coordination of TYIF’s Annual Report and stakeholder messaging
Governance & Compliance
Coordinate board and committee meetings (may require occasional out-of-hours attendance)
Prepare agendas, board papers, minutes, and action tracking
Maintain governance records and ensure compliance with the ACNC, ASIC, and ATO
Support administrative needs of the Board and ensure accurate documentation of resolutions
Project Coordination
Coordinate and contribute to key internal and cross-organisational projects
Track operational and strategic goals and KPIs
Conduct research and prepare strategic reports and briefings
Support CEO and Executive Team in delivering special projects and initiatives
Events & Engagement
Coordinate stakeholder events, briefings, and strategic planning days
Support run sheets, event logistics, guest lists, and event delivery
Draft briefing documents and follow-up communications
Liaise with external partners and stakeholders to ensure smooth delivery
About You
You’re organised, emotionally intelligent, and mission-driven. You have a background in high-level executive or operations support and want to grow your scope. You enjoy turning vision into action and supporting leaders to succeed.
We’re looking for someone with:
Prior experience as an Executive Officer, EA, or senior support role
Excellent written communication; confident drafting on behalf of others
Meeting and project coordination experience
Ability to manage competing priorities and act proactively
Familiarity with grant processes or philanthropic funders
Experience supporting boards and understanding NFP compliance
Proficiency with tools like PowerPoint and Canva for professional documents
A collaborative, warm, and purposeful approach
