About the Role
Melbourne Sports Institute is seeking a confident and dynamic Sports Official Recruitment & Allocations Coordinator to join our small, energetic team in Caulfield South.
While this role is currently focused on netball (our busiest sport this season), it may also involve recruitment and rostering of officials and coaches for other sports as demand shifts throughout the year.
This full-time position centres on recruiting, coordinating, and allocating umpires and referees to interschool fixtures across Melbourne. You'll also handle key administration tasks, upload fixtures into our scheduling and billing systems, and make sure we stay on budget when assigning shifts.
What You’ll Be Doing
Recruiting and onboarding sports officials (currently netball umpires)
Allocating officials to fixtures
Writing and managing job ads (Indeed, Seek, social media, direct outreach)
Liaising with clubs, associations, and unis to attract talent
Verifying qualifications, Working With Children Checks, and availability
Communicating with umpires and referees daily (calls, texts, emails)
Ensuring KPIs are met is essential to achieving our strategic goals and maintaining performance standards.
Managing last-minute subs, roster changes, and fixture issues calmly and efficiently
Completing general admin duties and high-accuracy data entry
Occasional Saturday morning work may be required
Supporting the wider sports coordination team and assisting with other tasks as needed
About You
Energetic, outgoing, and great with people – you enjoy recruiting and persuading
Able to multitask and thrive under pressure in a fast-moving office
Resilient, with thick skin and a sense of humour
Highly organised with a sharp eye for detail
Comfortable on the phone, with strong follow-up and negotiation skills
Strong computer skills, including rostering software, Microsoft and Google
A diploma or degree in sport management, HR, business or related field is a plus – but not essential
Experience in recruitment, rostering, hospitality, or fast-paced sport admin preferred
Requirements

Strong administration and computer skills
Impeccable attention to detail.
Must be available to work Monday–Friday, 9am–5pm at our Caulfield South office (Non-remote work)
Occasional Saturday morning availability and extra hours during peak seasons
