ABOUT THE ROLE
We’re seeking a proactive and highly organised Executive Assistant to join a leading Australian company based in Sydney. In this key role, you will manage a demanding and dynamic executive calendar, handle complex scheduling, and provide essential support to senior leaders in a fast-paced, agile environment.
As a trusted partner to the Executive, you’ll oversee high-volume email correspondence, prepare briefing materials, and ensure seamless coordination of domestic and international travel. Your attention to detail and ability to anticipate needs will be crucial in helping the team focus on strategic priorities.
DUTIES
- Manage and coordinate a complex and high-volume executive calendar, ensuring seamless scheduling across competing priorities
- Oversee email correspondence and provide proactive support in preparing materials and briefing documents ahead of meetings
- Ensure the Executive is fully briefed and prepared for all engagements, anticipating needs and providing timely updates
- Resolve scheduling conflicts efficiently while maintaining a clear focus on priority initiatives
- Act as a trusted partner, streamlining workflows and enabling focus on strategic objectives
- Coordinate and manage domestic and international travel, including detailed itineraries and logistical support
- Process and reconcile expenses accurately and in a timely manner
- Format, proofread, and prepare high-quality presentations and documents for internal and external stakeholders
- Thrive in a fast-paced, agile environment where flexibility, initiative, and discretion are essential
SKILLS & EXPERIENCE
- Experience supporting executives in a highly regulated environment (e.g. financial services) is highly regarded
- High attention to detail and ability to work in a fast-paced environment
- Positive attitude and ability to handle direct feedback with professionalism
- Proven experience managing a high-volume inbox on behalf of senior executives, with the ability to prioritise and respond efficiently and professionally
- Demonstrated experience arranging complex domestic and international travel, including flights, accommodation, and detailed itineraries
- Experience planning and executing meetings, events, and offsites, including end-to-end logistics, vendor management, and stakeholder communication
