ABOUT US

At Duplex Building Design, we specialise in building design, interior design, planning and approvals for duplex, dual occupancy, townhouse, and multi-dwelling projects across NSW. Our clients are developers, investors, and homeowners who want exceptional outcomes without the hassle. We manage the full design and approval process, helping clients go from concept to construction-ready.

As our business continues to grow, we’re looking for a motivated, detail-oriented, and capable Office Administrator to join our team in a key support role.

THE ROLE

You’ll be the organisational backbone of our office — ensuring smooth daily operations, supporting the design and leadership teams, and creating a welcoming and efficient environment for our staff, clients, and consultants.

KEY RESPONSIBILITIES

● Manage phones, emails, client inquiries, and front-of-house reception
● Schedule meetings, manage calendars, and support our project co Ordinator with project timelines
● Set up new projects in our systems and support onboarding documents
● Prepare invoices and liaise with our accounts team using Xero
● Order office supplies and ensure the workspace is well-maintained
● Assist with HR and admin tasks (e.g., onboarding documents, staff files)
● Upload and lodge Development Applications (DAs) and Construction Certificates (CCs) through the NSW Planning Portal
● Track project milestones using ProWorkflow and support deadlines for lodgements
● Manage client records and communication through HubSpot CRM
● Liaise with councils, certifiers, and consultants to coordinate document flow
● Support the director and team with general office and administrative duties

SKILLS & EXPERIENCE

● Previous experience in an administrative or office support role (construction/design industry a plus)
● Strong organisation and time-management skills
● Excellent verbal and written communication
● Proficient in Microsoft Office, Xero, and experience (using ProWorkflow, and HubSpot CRM is a bonus)
● Familiarity with the NSW Planning Portal or willingness to learn
● Positive attitude, proactive mindset, and a desire to help the team succeed
● Ability to handle sensitive information with discretion
● Bonus if you have experience coordinating with councils and certifiers
