About the opportunity
Reporting to the Executive Officer, the Executive Assistant provides high-level confidential administrative support to the CEO, managing a range of tasks and serving as a key liaison with internal and external stakeholders to ensure seamless operations.
Tasks and Responsibilities
- Assist the Executive Officer in delivering exceptional support to the CEO, ensuring efficient and effective executive operations with the ability to manage multiple tasks.
- Manage the CEO’s complex and dynamic calendar, scheduling and negotiating appointments, meetings, and preparing relevant briefing materials and documentation.
- Coordinate and facilitate executive meetings (internal and external) by preparing agendas, taking confidential minutes, and tracking follow-up actions.
- Provide administrative support for the CEO’s involvement in external NT/National Boards and Committees.
- Draft and prepare high quality correspondence, briefing packs, reports, and papers as directed by the Executive Officer.
- Confidential correspondence, including typing, formatting, and editing documents with precision and discretion.
- Maintain secure, organised, and accessible systems for reports, records, and documentation.
- Act as the point of contact for the CEO, prioritising and managing access effectively

Essential Criteria
- Minimum 3 years experience providing high-level administrative support to a CEO or senior executive
- Certificate IV in Business Administration or similar, relevant qualification or equivalent experience.
- Demonstrated ability to handle highly confidential and sensitive matters with discretion and professionalism.
- Strong communication and liaison skills, with the ability to engage effectively with internal and external stakeholders at all levels.
- Exceptional interpersonal skills, maintaining professionalism, diplomacy, and tact, with excellent written and verbal communication abilities.
- Superior organisational skills, with strong attention to detail, time management, and the ability to prioritise competing tasks and meet deadlines.
- Ability to build and maintain productive relationships, working collaboratively in a team and independently with stakeholders at all levels.
- Advanced proficiency in Microsoft Office Suite.
- Current Ochre Card, Criminal History Check, NT Drivers Licence and NDIS Worker Screening Clearance
