Laynhapuy Homelands Aboriginal Corporation (LHAC) is a not-for-profit member-based organisation that has been in existence for more than 40 years. It was incorporated with ORIC in 2012 and before this operated as an association. Laynhapuy provides essential services across 30 homeland communities including: primary healthcare, NDIS support, aged care support, housing, municipal services, and community services. As well, Laynhapuy has its own ranger program (Yirralka Rangers).
The vision for Laynhapuy is: “to determine our own future to manage our own affairs, to become self-sufficient so that the homeland mala (clans) can continue to live in peace and harmony”.
About the role:
We are seeking a highly organized and proactive Executive Assistant & Media and Marketing Officer based in Yirrkala to join our dynamic team. This multifaceted role combines executive-level administrative support with key marketing responsibilities. As the right hand to the CEO, you will manage schedules, coordinate meetings, and handle communications, while also assisting with the development and execution of marketing strategies. You will play a crucial role in supporting both the CEO, ensuring smooth and efficient operations across both areas.
Key Responsibilities:
Calendar and Scheduling Management
· Manage CEO calendar, ensuring optimal scheduling of meetings, appointments, and travel arrangements.
· Coordinate CEO internal and external meetings across departments and with key stakeholders.
Communication and Coordination
· Handle incoming and outgoing phone calls, emails, and correspondence on behalf of CEO.
· Liaise with internal departments, external agencies, clients, and other stakeholders to support business and marketing initiatives.
· Create and implement a brand persona and corporate tone.
Meeting and Event Planning
· Organise and coordinate meetings, preparing agendas, taking minutes, and tracking follow-up actions.
· Develop a marketing strategy, create an aligned budget, procure goods and services and pro-actively source new marketing opportunities.
· Assist with the planning and execution of corporate events, trade shows, and promotional activities.
Content Creation and Social Media Management
· Develop and create marketing content, including social media posts, blog articles, newsletters, and website updates.
· Monitor and manage social media accounts, engage with audiences, and respond to inquiries to boost engagement.
Campaign and Project Support
· Assist in the planning, execution, and tracking of marketing campaigns, including email marketing and digital advertisements.
· Provide coordination and administrative support for both CEO and marketing projects.
Market Research and Data Analysis
· Conduct market research to analyse industry trends, target audience behaviors, and competitor activities to inform marketing strategies.
· Analyse marketing campaign performance and social media engagement to provide actionable insights for optimisation.
Report and Document Preparation
· Draft and format reports, presentations, and other essential business documents for CEO.
· Maintain internal documentation, marketing databases, and filing systems to ensure information is organised and up-to-date.
Administrative and General Office Support
· Provide broad administrative support, including scheduling, filing, document management, and office coordination.
Assist the CEO with ad hoc tasks and special projects as needed.
Key Selection Criteria:
Demonstrated minimum 5 years’ experience as an Executive Assistant to a CEO or Executive Manager
Assure deadlines are adhered too
Demonstrate excellent time management skills with the ability to problem solve and be adaptable
Positive cultural engagement across the organisation and through external stakeholders
Demonstrate an ability to balance priorities and work to tight deadlines.
Possess a highly proficient written and verbal communication skills, including exceptional attention to detail.
Demonstrate an ability to exercise discretion and sensitivity regarding confidential issues.
Develop and create marketing materials including social media posts, blog articles, newsletters, and website updates.
Ensure all content aligns with LHAC brand voice and marketing strategy to maintain consistency.
Demonstrated high level of awareness of issues affecting Indigenous people to ensure effective participation in a cross-cultural environment.
Demonstrated ability to work well independently.
Project delivery including understanding of various frameworks and monitoring to implementation.
Ability to travel in light aircraft.
Tertiary qualifications in Business Administration or equal experience
Manual NT driver's licence
NT Ochre Card / National Police Check Clearance.
