Our Operations team is dedicated to working with our experienced therapists as they support young folk through their therapeutic journey. Better Life Centre provides Psychology and mental health support to clients of all ages. Our Operations Team focusses on supporting therapists and their clients throughout their time with us. Better Life Centre has been operating for 25 years, our Founder continues to work part-time in the clinic. With 13 therapists and growing, we're committed to professional, team-based, ethical service.

About the Role

The Client Support Administrator plays a key role in delivering and improving the day-to-day operations, ideally across both of our clinics. This position is ideal for a bright, friendly self-starter, who enjoys interacting with our clients and their loved ones, as well as contributing to a collaborative work environment where fun and teamwork are key parts of every day. Key Responsibilities

Operations Team participation

Build rapport and foster great relationships with our multiple stakeholders – Allied Health therapists, our therapy clients and their loved ones, and referrers.

Identify and support the implementation of systems and process improvements, so Operations service is efficient and consistent.

Optimise our use of the Client Management System (Zanda / PowerDiary), AI, and other technology platforms and subscriptions as appropriate.

Contribute to community awareness of our service, via our website and social media presence, content creation, maintaining up to date information.

Support Marketing campaigns as needed.

Operations Service delivery

Work with the Practice Manager to prioritise work tasks and priorities within your role on a continual basis.

Reception duties: Be the first point of welcome and contact for families, providing a positive experience.

Deliver our client support service, with the support of the Practice Manager and the Operations team.

Manage therapists’ diaries, including scheduling and forward planning.

Collect and manage client information, ensuring confidentiality and accuracy.

Process payments, Medicare claims, and manage accounts, including EFTPOS.

Perform general operations duties to support the therapists.

Maintain high standards of cleanliness and order within the clinic.

Incoming and outgoing calls. Answer new and existing Client email enquiries.

Manage waitlists.

Onboard new clients, including obtaining appropriate client documents.

Proofread and fax / email reports and letters.

Other administration tasks as required.

About the ideal candidate

Technical proficiency: Experience with Zanda/PowerDiary practice management software, AI, Medicare processing, NDIS, EFTPOS systems, Microsoft Office suite (Outlook, Word, and Excel).

Specific Allied Health sector experience (or Health sector at a minimum) : Previous experience in a clinical practice or Allied Health operations role, ideally contributing in a service team through a growth phase.

Customer service skills: Excellent communication skills with the ability to build positive, ‘can-do’ relationships with clients and team members.

Teamwork: Willing to step in and provide guidance and support as needed, to deliver valuable service for all stakeholders.

Organisational skills: Excellent time management and attention to detail.

Personal qualities: Positive, proactive, self-motivated, and capable of working both independently and as part of a team.
