Care in Motion is a dynamic organisation committed to excellence and continuous improvement. We’re looking for a motivated and detail-oriented Administrative Assistant who is ready to take ownership of this role and grow with us.

About the Role:
This is more than just an admin role — it’s an opportunity to make a real impact. The right candidate will not only support the day-to-day operations but will also have the chance to shape and expand the position over time. We’re looking for someone who’s proactive, eager to learn, and ready to take on new challenges as they arise.

Key Responsibilities:

Coordinate and manage calendars, ensuring timely scheduling of appointments, meetings, and events.

Arrange catering and logistical support for meetings and events, aligned with organisational values and budget.

Organise travel arrangements for leadership, including booking flights, ground transport, and accommodation.

Provide administrative support to the Care in Motion Management Committee, including preparing meeting agendas, recording accurate minutes, and distributing relevant documentation.

Draft and compile regular reports, correspondence, and internal communications.

Assist the marketing team with administrative tasks to help promote the organisation’s mission and initiatives.

Support general office operations and contribute to a positive, collaborative team environment by undertaking additional duties as needed.

Essential Criteria

Proven ability to communicate clearly and professionally, both verbally and in writing, with a diverse range of internal and external stakeholders.

Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines in a dynamic environment.

Proficiency in Microsoft 365 applications, with a willingness and capacity to learn new software and digital tools.

Demonstrated commitment to high-quality customer service and the ability to engage respectfully and effectively with individuals from varied backgrounds.

Proven ability to work independently and as part of a team.

Ability to work collaboratively within a team, contributing to a positive and inclusive workplace culture.

Desirable Criteria:

Previous experience in a similar administrative or support role within a nonprofit or community-focused organisation.

Familiarity with Canva or other graphic design tools to assist with visual communications and promotional materials.
