Position Description:
As a Finance Officer/Bookkeeper at Tadpole Bio, you will play a pivotal role in ensuring the financial accuracy and compliance of our and the client's finance lodgements. You will collaborate closely with others within the company to support their administrative or financial needs and contribute to the overall success of our organisation. You will also be given opportunities to lead initiatives and present yourself.
Key Responsibilities:
Main:
Set up, configure, and maintain Xero accounting software to ensure smooth financial operations. This includes establishing a well-structured chart of accounts tailored to the business' and clients’ needs, integrating bank feeds, and performing regular bank reconciliations to ensure accuracy.
Manage payroll processing, including employee setup, timesheet management, and compliance with taxation requirements.
Oversee superannuation contributions, ensuring timely payments and adherence to regulatory obligations.
Assist in the preparation, compilation, and generation of Business Activity Statements (BAS) and tax return reports. This includes gathering and verifying financial data and accurately preparing reports for submission. Additionally, support reviewing financial records, reconciling discrepancies, and liaising with stakeholders to ensure timely and accurate tax reporting.
Secondary:
Provide operational support to various departments, including corporate governance, and business development.
Keep up to date with ATO/Budget releases and alerts;
Budget forecast and prepare management reports & advice;
Handle incoming and outgoing communications, both digital and physical, ensuring prompt and professional responses.
Maintain accurate and up-to-date records and databases, including employee records, financial data, and other business confidential information.
Assist in document management, filing, and archiving to ensure data integrity and accessibility.
Other duties or responsibilities may be required from time to time.
Qualifications and Past Experience:
Essential:
A master’s/bachelor's degree or relevant TAFE certification in finance, accounting, business administration or a related field.
At least 2 years of previous experience in administrative/finance roles.
Strong organisational and time-management skills with exceptional attention to detail.
Ability to maintain confidentiality and handle sensitive information with discretion. Successful candidates will be required to pass a policy check.
Proficiency in office software (e.g., Microsoft Office Suite) and the ability to quickly learn and adapt to new software tools such as Lark Suite, Airtable and Wechat.
Excellent communication skills in English, both written and verbal.
Able to comply with company policies and procedures as appropriate.
A proactive and self-motivated individual who can work both independently and collaboratively within a team.
Preference:
Candidates who can read, speak and write in Mandarin
Previous experience in Accounting in China
Previous experience in biotech or life science industry
Previous experience relating to ASIC/corporate governance, R&D tax incentives
