About the Role
We have an exciting opportunity available for an experienced, career secretary seeking a stable, long-term position. This is not an entry-level role; the successful applicant will have prior experience providing high-level secretarial, administrative, and personal assistant support within a legal practice environment.
In this role, you will work closely with the directors and solicitors, ensuring the smooth operation of the firm through comprehensive administrative and executive assistance.
Key Responsibilities:
· Provide high-level secretarial and administrative support to the directors and legal team.
· Act as the primary point of contact for clients, ensuring professional, timely, and confidential communication.
· Draft correspondence, legal documents, court forms, briefs, and client-related materials with precision.
· Manage diaries, coordinate appointments, schedule court appearances, and organise client meetings and internal events.
· Efficiently manage phone calls, emails, and correspondence, responding promptly and professionally.
· Organise and maintain electronic filing systems for accurate and efficient document management.
· Assist with the firm's trust account and billing management.
· Drive and support improvements to firm policies, procedures, and administrative processes.
· Provide personal assistance to the directors, including managing personal appointments, travel arrangements, and other personal administration tasks.
· Handle sensitive and confidential information discreetly and responsibly.
About You:
· You are an experienced, career-focused secretary seeking long-term employment within a professional legal environment.
· Highly organised, proactive, and able to manage multiple tasks efficiently.
· Exceptional attention to detail and high standards of accuracy.
· Strong interpersonal and communication skills, with a polished, professional manner.
· Demonstrated experience within a legal practice, providing administrative and secretarial support at a senior level.
· Familiarity with legal practice management systems and trust accounting is highly desirable.
· A solutions-oriented approach, with the flexibility and willingness to assist in a wide range of tasks.
· Ability to maintain composure and confidentiality in a busy environment.
