Family Experience Coordinator / Receptionist (Part-Time, Mon–Thurs, up to 30hrs/week)
Are you someone who lights up a room with your energy, thrives in a fast-paced environment, and finds joy in helping families feel welcomed, supported, and cared for? At Family Time, we’re looking for a Family Experience Coordinator who brings warmth, initiative, and a strong sense of hospitality to everything they do.
You’ll be the 'go-to' person for families navigating the NDIS and paediatric therapy journey — whether they’re walking through our doors for the first time or reaching out with questions. You’ll also play a key role in promoting our services, nurturing relationships, and representing our brand across both in-person and online channels.
You’ll need to be efficient, proactive, and a clear communicator (in person, online, and over the phone), with a deep appreciation for the emotional and practical needs of families raising neurodiverse children.
What You'll Be Doing
Being the first friendly face families see — offering a calm, warm welcome every time
Managing reception and front desk operations with efficiency and care
Confidently providing warm, professional support by phone, email, and face-to-face
Supporting the coordination of appointments and clinician schedules
Handling payments and managing client administration, including NDIS-related details
Guiding new families through our intake process with empathy and clarity
Ensuring seamless communication between families and therapists
Supporting families with sensitive conversations around funding and payments with professionalism and kindness
Engaging with our online client community/app and helping families navigate it’s features
Responding to inquiries and questions from new and existing clients
Assisting with light marketing and recruitment tasks — including follow-ups with prospective clients, contributing to outreach campaigns, and promoting programs or events
Representing the Family Time brand with pride — both in the clinic and online
This Role is for You If You:
Thrive in a client-facing role and love making people feel seen, heard, and cared for
Have exceptional communication skills — both verbal and written
Obtain a confidence and influential skill set to support our team with driving client services
Are naturally warm, charismatic, and confident in your presence
Enjoy being organised, resourceful, and proactive in solving problems
Have experience in client services, admin, or reception (especially in a healthcare, disability or therapy setting)
Understand the NDIS and feel comfortable speaking with families who are navigating systems and diagnosis.
Feel excited by the opportunity to support marketing and client engagement projects
Are tech-savvy and comfortable learning systems like client management platforms or apps
Are a team player who brings energy and enthusiasm to the workplace
Take pride in being reliable, responsive, and detail-focused
