Position Purpose:
To lead the development, implementation, and optimisation of systems and processes across the business, driving operational efficiency and setting the foundation for strategic growth. This role ensures the business runs smoothly day-to-day while supporting scalable expansion into new areas and teams.
Key Responsibilities:
1. Systems Development & Automation
Analyse current workflows and identify inefficiencies or bottlenecks across admin, job management, and reporting processes.
Design, implement, and document clear systems and SOPs for all key functions (e.g., quoting, scheduling, invoicing, job closeouts, warranty uploads, compliance reporting).
Integrate software tools (e.g., ServiceM8 / Aroflo / Ascora ( or new management software ), Canva, DropBox, Xero) to streamline operations and improve communication across teams.
Implement automation where possible using AI or tech platforms (e.g., automated quote generation, reminders, onboarding checklists).
2. Operational Management
Oversee daily administrative operations and help the team follow and refine systems.
Maintain consistent quality control over how jobs are processed, documented, and completed.
Establish KPIs and reporting structures for workflow performance and staff accountability.
3. Staff Enablement & Training
Onboard and train staff in newly created systems, SOPs, and software usage.
Create easy-to-follow guides, templates, and process flows to ensure team adherence.
Build a culture of continuous improvement, encouraging staff to suggest and implement efficiencies.
4. Business Development & Growth Planning
Work closely with the Director to identify strategic opportunities for geographic or service expansion.
Set up back-end systems that allow scaling into new areas or teams without compromising service quality.
Support the creation of proposals, tender documentation, and capability statements for new contracts.
Assist in hiring processes for operational roles, ensuring readiness for business growth.
5. Compliance & Documentation
Oversee all portal submissions (e.g., safety docs, induction paperwork, photo logs).
Ensure all work meets compliance standards and industry best practices.
Keep all licenses, insurances, SWMS, and safety documentation organised and current.
Key Attributes of the Ideal Candidate:
Highly organised, systems-driven thinker with proven experience in operations or systems management (ideally in construction/trades/field services).
Strong understanding of tech platforms like ServiceM8, Xero, Google Workspace, and automation tools (Zapier, Make, etc.).
Proactive problem solver with strong initiative and attention to detail.
Comfortable collaborating with field teams and office staff to translate real-world needs into scalable solutions.
Communicator who can build alignment and consistency across teams.
Success Metrics (12-Month Targets):
All major processes (quoting, scheduling, invoicing, reporting) are systemised, smooth and documented.
90%+ adherence to SOPs across the business.
Portal submissions and compliance tasks streamlined with minimal delays or rework.
Time required from Director on daily admin reduced by 50%.
Systems in place to onboard new regions or teams without major business disruption.
