Key Responsibilities
Building Operations
· Supervise and coordinate daily building operations across all four strata plans and the community association.
· Be the primary contact for residents, strata committees, and contractors on building-related issues.
· Conduct regular building inspections and document outcomes using MYBOS building management software.
· Lead quarterly Building Manager Feedback and Case Priority Meetings with each committee.
· Execute capital works projects as outlined in the individual and community budgets.
· Monitor building inventory and record utility meter readings where applicable.
· Manage remedial and upgrade works under $20,000; supervise larger projects as a committee representative.
· Provide informed recommendations and support committee decision-making.
Communication
· Work collaboratively with strata committees to scope and approve works over $1,000.
· Schedule quarterly Open MYBOS Case Review meetings six months in advance.
· Act as the main liaison for concierge, cleaning, and gardening teams.
· Submit monthly Open Case Reports to strata and community committee members.
· Provide capital works progress reports and attend committee or AGM meetings as invited (with additional pay for after-hours).
Contractor & Project Management
· Approve day-to-day work orders under $1,000.
· Lead procurement and manage contractors for works over $1,000.
· Oversee recurring services such as lifts, pools, pest control, hot water systems, HVAC and others.
· Monitor contractor certification and compliance documentation using MYBOS.
· Sign off on completed work and conduct periodic contractor performance reviews.
· Maintain and support updates to the approved contractor list.
Systems & Compliance
· Manage emergency procedures, annual fire safety requirements, and access control/security systems.
· Liaise with local council or authorities as necessary for building and community compliance.
· Serve as MYBOS system administrator, ensuring records and access are kept up to date.
By-Laws & Renovations
· Assist in enforcing building by-laws and escalate breaches to the Strata Manager and committees.
· Review renovation applications for compliance and provide recommendations to the committee.
Reporting & Meetings
· Prepare quarterly reports at least three business days prior to Building Manager and AGM meetings.
· Track progress of capital works projects and ensure spending aligns with approved budgets.
· Ensure quarterly meetings and routine inspections are conducted on schedule.
· Maintain welcome brochures and manage updates to the building website.
· Attend AGMs and special meetings when invited (paid separately if after hours).
Financial Oversight
· Approve invoices for completed work or maintenance cases.
· Monitor capital work expenditure and provide budget progress reports to committees each quarter.
Skills & Experience
· Proven experience in building/facilities management, ideally within a multi-strata or community association setting, minimum 5 years.
· Sound understanding of building systems, compliance, and project coordination.
· Proficient in MYBOS or similar building management systems.
· Strong interpersonal, organisational and communication skills.
· Knowledge of Australian building codes, strata legislation, and OH&S standards.
· Ability to work autonomously while managing multiple priorities across separate entities.
