Service Coordinator/Workshop Administrator

Are you an organised, people-focused professional with a passion for customer service and a solid understanding of workshop or mechanical environments? We are currently seeking a Service Coordinator/Workshop Administrator to join a dynamic and growing team in a pivotal support role across both workshop and accounts functions.
About the Role
This is a diverse and hands-on position that plays a vital role in delivering excellent customer experiences while supporting day-to-day operations. You’ll be managing client communication, booking coordination, administrative tasks, and assisting with workshop flow to ensure efficiency and customer satisfaction.
Key Responsibilities
Customer Engagement & Account Support
Manage customer bookings, service schedules and enquiries
Maintain strong, ongoing relationships with key accounts
Liaise between workshop, clients, and other departments to ensure smooth communication
Handle payments, warranties, complaints and follow-up activities
Provide accurate and timely advice and updates to customers
Workshop & Administration
Perform data entry, invoicing, timecard management and general support for the accounts team
Oversee vehicle condition reports and coordinate drop-offs and pick-ups
Monitor stock and consumables, ensuring availability for upcoming jobs
Assist in the coordination of on-site and off-site installations
Ensure service documentation and high-quality standards are maintained

Adhere to all company Health & Safety policies and procedures
Maintain a clean and safe work environment
Proactively report and manage risks, hazards, and incidents

What You’ll Bring
Previous experience in a customer-facing or coordination role. Mechanical/workshop or service-based environment will be beneficial.
Strong organisational and project coordination skills
High attention to detail and excellent communication skills
Proficiency in Microsoft Office and general tech-savviness
Ability to work independently and manage competing priorities
A current driver's licence
Nice to Have
Experience with workshop systems or ERP platforms
Trade qualification or tertiary education (advantageous but not essential)
Exposure to business development or stakeholder engagement
