Position Summary
The Warehouse Officer is responsible for the efficient and compliant receipt, storage, handling, and dispatch of goods in a TGA-licensed facility. The role ensures all warehouse activities are carried out in accordance with GMP (Good Manufacturing Practice), TGA regulatory requirements, and internal Quality Management Systems (QMS), supporting the timely and accurate flow of materials within the business.
Key Responsibilities
Inventory Management
Receive, inspect, and verify incoming goods against purchase orders and delivery documentation.
Ensure materials are correctly labelled, stored, and segregated as per GMP guidelines.
Perform accurate and timely transactions in the ERP/WMS system.
Conduct regular cycle counts and participate in stock takes.
Manage quarantine, rejected, returned, and expired goods in accordance with SOPs.
GMP and TGA Compliance
Adhere strictly to TGA licensing conditions and GMP protocols.
Complete all documentation (e.g., Goods Inwards Logs, Batch Records, Picking Slips) accurately, legibly, and in real-time.
Ensure warehouse cleanliness and compliance with pest control and hygiene procedures.
Maintain traceability of materials through correct documentation and identification practices.
Participate in internal/external audits and provide required documentation and explanations as needed.
Dispatch and Logistics
Prepare and stage materials for production and customer dispatches.
Ensure accurate picking, packing, and labelling of goods.
Coordinate with freight providers to ensure timely dispatch and delivery.
Handle temperature-sensitive and dangerous goods per regulatory and safety requirements.
Safety and Maintenance
Operate forklifts, pallet jacks, and other equipment safely and efficiently.
Comply with WHS policies and report incidents or hazards immediately.
Conduct routine checks of equipment and storage conditions.
Assist with waste management and recycling in line with environmental standards.
Continuous Improvement
Contribute to the development and improvement of warehouse processes and SOPs.
Support training of new staff in warehouse operations and GMP compliance.
Engage in cross-functional teamwork to meet operational goals.
Qualifications and Experience
Essential:
Minimum 2 years' experience in a warehouse role, preferably in a GMP/TGA-regulated or pharmaceutical/nutraceutical environment.
Valid forklift license.
Understanding of GMP, TGA regulations, and warehouse SOPs.
Strong attention to detail and ability to follow procedures precisely.
Proficiency with inventory systems (ERP/WMS) and basic computer skills.
Desirable:
Experience with cold-chain storage and controlled substances.
Knowledge of dangerous goods handling.
Certificate III in Warehousing Operations or equivalent.

Working Conditions
Primarily warehouse-based with exposure to cold storage and manufacturing areas.
