Job Description:
As the Scheduling Coordinator/Administrator, you will play a vital role in ensuring that all service requests are managed efficiently, with seamless coordination between customers, trade staff, and other internal teams. Your ability to prioritise tasks, manage schedules, and ensure timely execution of service requests will play a crucial role in MBS FM’s success.
Key Responsibilities:
- Manage daily scheduling and dispatching of trade staff to customer sites
- Coordinate with clients and service teams to ensure clear communication regarding job schedules and project requirements
- Maintain and update records of all service requests, appointments, and job statuses
- Assist in managing and monitoring ongoing jobs to ensure timelines and deadlines are met
- Track and update job progress in the system
- Handle administrative duties such as monitoring incoming request, answering client queries, invoicing, and record-keeping
- Generate purchase orders
- Provide excellent customer service through effective communication and timely follow-ups
- Collaborate with other team members to resolve any scheduling conflicts or service delays
Requirements:
- Proven experience in a scheduling or administration role
- Strong organisational and time management skills
- Ability to multitask and work under pressure
- Excellent communication skills, both written and verbal
- High attention to detail and accuracy
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with SimPRO (or similar scheduling software) is highly advantageous
- Excellent problem-solving skills and the ability to work autonomously
- Ability to work in a team environment and contribute to a positive workplace culture
