About the Role

ISN Clinic is seeking a highly efficient and tech-savvy Administrator to join our team at our Cotham Road location in Kew. This role is ideal for someone who thrives in a dynamic environment, enjoys juggling multiple responsibilities, and has strong administrative and systems capabilities.

Working as part of a dedicated team supporting four clinic locations, you will play a key role in ensuring the smooth operation of our administrative processes. Our clinics support provisional psychologists in training, providing valuable mental health services to the community. This role supports those operations behind the scenes—managing systems, coordinating schedules, maintaining records, and keeping things running with precision and reliability.

We’re looking for someone who is proactive, organised, detail-oriented, and confident in navigating multiple software platforms and managing competing priorities.

Key Responsibilities

Administration & Systems Management
Maintain accurate records, manage data entry, and ensure smooth use of our internal systems and client management platforms.

Scheduling & Coordination
Coordinate appointments, placement schedules, and room allocations for students and clinicians across multiple clinic sites.

Intake Management
Manage the client intake process, ensuring referrals and new client enquiries are handled efficiently and recorded accurately.

Process Efficiency
Identify opportunities to streamline administrative processes, implement system improvements, and support operational effectiveness.

Communication & Documentation
Draft and manage internal communications, meeting agendas, minutes, and professional correspondence.

Multitasking & Problem Solving
Confidently manage simultaneous requests from clinicians, students, and administrative staff while prioritising tasks effectively.

Team Support
Collaborate with reception and administrative staff across all ISN Clinic locations to ensure continuity of service and information flow.

Reception Coverage
Provide reception support as needed, including covering phones, greeting clients, and managing front-desk tasks during staff absences or busy periods.

About You

Essential:

Relevant qualifications in Business Administration, Health Administration, Information Systems, or another technology-related field are highly regarded

Minimum 3 years of experience in an administrative role (medical or allied health setting preferred)

High proficiency in Microsoft Office 365 (Excel, SharePoint, Outlook) and Google Workspace

Experience using and maintaining client management systems (CMS)

Excellent multitasking and organisational skills

Fast and accurate typing (minimum 70 wpm) and strong documentation ability

High attention to detail and commitment to data accuracy

Ability to work both independently and within a collaborative team

Desirable:

Experience with Medicare billing processes

Familiarity with supporting student training programs or education settings

Bachelor’s degree in a related field
