THE OPPORTUNITY
Salary: $74,742 - $80,407 per annum pro rata + 11.5% super + leave loading (dependent on qualifications and experience).
Time Fraction: Full Time, 1.0 EFT.
Location: Waverley & Moorabbin campuses.
WWCC: Appointment to this position is dependent on obtaining and maintaining an ‘employee’ Working with Children Check.
Police Check: Appointment to this position is dependent on obtaining a Police Check.
Position Status: Ongoing contract of appointment with a 6-month qualifying period.
The Senior Administration Officer plays a key role in supporting the Student Wellbeing and Student Engagement and Equity Departments, providing senior-level administrative support and leading a team to ensure efficient operations that enhance student experience and success.
In this role, you will oversee administrative functions, manage the administration of student support services, liaise with stakeholders, and foster a collaborative, student-centred environment. You will demonstrate strong leadership, organisational skills, and communication abilities to manage multiple priorities and ensure smooth service delivery.
Key Responsibilities
- Lead, support and supervise the administrative team to ensure efficient service delivery.
- Oversee day-to-day administration of student wellbeing and engagement programs.
- Serve as the primary administrative contact for internal and external stakeholders.
- Ensure compliance by maintaining student records and program documentation.
- Plan and coordinate events and workshops that promote student wellbeing and engagement.
- Manage the administration of key projects, including documentation updates, advertising, and compliance reporting.
ABOUT YOU
- Proven ability to guide administrative officers, ensuring efficient handling of urgent issues and de-escalation of tense situations.
- Sound knowledge of confidentiality and privacy laws, especially in relation to student records.
- Familiarity with tertiary education policies, particularly in student wellbeing, engagement, and equity services.
- Strong understanding of diverse student needs and a commitment to providing high-quality support in a tertiary setting.
- Degree in business administration, management, or a related field, or equivalent experience.
- Advanced skills in office software and student management systems, with experience in data management, reporting, and using CRM platforms.

The Student Wellbeing Department offers a comprehensive range of counselling and welfare services designed to support the holistic health and welfare of students. These services include short-term counselling sessions, crisis intervention, and mental health support across all Holmesglen campuses. The department also coordinates a variety of welfare programs tailored to meet the diverse needs of students, including financial assistance, housing support, food security initiatives, and access to bulk-billed GP services at the Holmesglen Medical Centres across all campuses.
The Student Engagement and Equity Department fosters an inclusive and collaborative educational environment, ensuring every student feels valued and supported. It promotes a vibrant and participatory student life and advocates for the needs of diverse students, offering services such as disability support and services for First Nations students. The department is responsible for promoting diversity, equity and inclusion and overseeing strategic initiatives that promote student voice and partnership.
