Project Administrator – Mechanical Engineering Graduate

Are you a recent mechanical engineering graduate eager to step into the world of project delivery and management? Ready to be part of Australia’s leading Tier I HVAC Contractor?
This is your chance to join a nationally recognised mechanical contractor at the forefront of delivering major HVAC projects across commercial, retail, healthcare and residential sectors. With projects valued up to $30 million, you'll be based in the Major Projects Division and work under the guidance of a seasoned Senior Project Manager and an experienced support team. This position offers genuine exposure to large-scale project delivery, making it an ideal springboard into a project management career.
About the Role:
As Project Administrator, you'll provide vital administrative and project coordination support to a high-performing team of Project Managers, Site Managers, Engineers, and Drafters. This is a diverse and fast-paced role that will see you embedded in the full project lifecycle—helping ensure that operations run efficiently, safely, and on time.
Your Responsibilities Will Include:
- Supporting all levels of the project team with day-to-day administration and project documentation
- Managing correspondence and maintaining project records via SharePoint/Vault
- Uploading and managing site inductions, qualifications, and training records
- Assisting in the onboarding process for new and transferring staff
- Coordinating travel and accommodation for site personnel
- Ensuring site compliance with safety and quality standards (including QSPs, SMPs, and O&M Manuals)
- Managing office and site consumables, PPE, and equipment orders using Pronto & Concur
- Handling general administrative duties such as scheduling, document preparation, and internal communications
- Reconciling expense claims and ensuring cost allocation to the correct projects or departments
What We're Looking For:
- A degree in Mechanical Engineering (or similar)
- 0–2 years’ experience in a project support, site coordination or admin-based role (ideal but not essential)
- Strong attention to detail and organisational skills
- A proactive attitude and willingness to learn from senior project professionals
- Excellent communication skills and the ability to work collaboratively within a team
- Proficiency in Microsoft Office; experience with SharePoint, Pronto or Concur highly regarded
