About the Royal College of Pathologists Australasia

The Royal College of Pathologists Australasia (RCPA) is the leading organisation representing pathologists and senior scientists in Australasia.

Pathology involves the study of the causes of disease. Pathologists are specialist medical doctors involved in the diagnosis and monitoring of almost all acute and chronic illnesses.

The RCPA was established in 1956 and has been responsible for the training and professional development of pathologists since that time. We also provide training programs for senior scientists working in pathology.

RCPA has around 4500 members practising in private and public pathology sectors across Australasia, including Australia, New Zealand, Hong Kong, Singapore and Malaysia. The College is also responsible for the promotion of the science and practice of pathology.

The RCPA is a not-for-profit organisation governed by a Board of Directors. It comprises some 50 staff members and is located in the heritage-listed Durham Hall in Surry Hills, Sydney, NSW.

About the role

As an Events Coordinator at RCPA you will play a pivotal role in planning, coordinating, and executing of a portfolio of events. The RCPA annually delivers its flagship Conference for over 1200 delegates, with 8 concurrent streams, over 250 abstract submissions, social functions and graduation ceremony which you will find yourself deeply immersed in all facets of the event management process. Throughout the year the events team delivers a multitude of multi-day and single day conferences, meetings, seminars and webinar. You will provide support to the Conference and Events Manager whilst also taking ownership of specific event areas and/or specific smaller events for end-to-end delivery.

Key Responsibilities:

· Support the Conference and Events Manager with event planning and organisation by managing documentation, schedules, and project management tools through to delivery with onsite logistics, venue and AV management.

· Keep well-organised records of all event details, including contracts, vendor agreements, and attendee lists, to aid future planning.

· Assist in implementing standardised event planning tools, such as templates, checklists, and reports.

· Provide clear and timely responses to event-related enquiries across various communication channels.

· Prioritise customer service serving as the initial contact for members, attendees, and partners.

· Independently coordinate all aspects of online webinars, including platform setup, registration, and presentation materials and webinar delivery.

· Develop and manage event budgets for assigned smaller events, ensuring alignment with departmental and organisational financial guidelines.

· Support the end-to-end process for scientific program development, including abstract submission, peer review, program scheduling, and speaker liaison.

· Help maintain strong relationships with exhibitors and sponsors, ensuring high levels of engagement and satisfaction.

· Compile post-event summaries, including attendance statistics, logistical notes, and key feedback insights to help the Conference and Events Manager assess event success.

· Assist in the supervision of non-event support staff or volunteers.

What We’re Looking For:

Essential:

· 3–4 years’ experience in event support, administration, or a similar role within a professional association, conference provider, or educational institution.

· Demonstrated experience managing a range of events, from smaller one day seminars, workshops, online webinars, with the ability to work independently.

· Proficiency in event management software and platforms (e.g. EventsAir) with the ability to set up and manage registration pages, build mirco-sites, set up and manage abstract submissions and review, and oversee virtual event delivery (e.g. EventsAir OnAir)

· Familiarity with webinar platforms (e.g., Microsoft Teams, Zoom) and experience with virtual event delivery.

· Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), preferably including Microsoft Dynamics as a CRM.

· Strong attention to detail with proven organisational and time-management skills, capable of handling multiple tasks efficiently.

· Excellent written and verbal communication skills, with a customer-focused approach in responding to enquiries and handling attendee interactions.

· Comfortable interacting with senior stakeholders, with a helpful and solution-oriented mindset.

· Ability to work independently, take initiative, and maintain effective communication with the Conference and Events Manager and team members.
