About the Role
Equitifund Group is a diversified private company operating across financial services, property, mortgage finance, and charitable housing. We are seeking a highly organised, discreet, and reliable Executive Assistant to support our Executive Chairman.
This is a hands-on, executional role - you will be the Chairman’s go-to person for ensuring day-to-day priorities are organised, communications are streamlined, and admin is under control. It has some Chief of Staff aspects enabling development into a more senior presence in the organisation.
Salary and package: Range $120-$140K plus expenses, superannuation, car and/or car support.
Key Responsibilities
Proactively manage the Chairman’s calendar, ensuring appointments are prioritised and well-coordinated
Monitor, organise and respond to emails and other correspondence on behalf of the Chairman
Coordinate travel bookings, accommodation, itineraries, and expense claims
Prepare documents, meeting packs, presentations, and agendas as required
Liaise professionally with lawyers, financiers, government advisers, and other senior external stakeholders
Provide general administrative and logistical support to ensure smooth daily operations
Attend internal meetings as needed and follow up on action items
Maintain absolute confidentiality and discretion at all times
Act and serve as liaison between Chairman and staff; including staff reporting.
Being able to calmly support by bringing order and calm to occasional chaos.
Ideal Candidate
5+ years’ experience in a senior Executive Assistant or Personal Assistant role, ideally supporting a C-suite executive
Highly organised, self-directed, and comfortable working autonomously
Excellent written and verbal communication skills — professional, polished, and calm under pressure
Discreet, trustworthy, and capable of handling confidential information
Confident liaising with senior stakeholders across legal, finance, and government sectors
Proficient with Microsoft Office and able to quickly adapt to new tools/systems
Comfortable travelling twice per week to Western Sydney (will change to Upper North Shore next 3 months) and managing both professional and personal tasks for the Chairman. North/North-Western located person probably best.
