The Opportunity
We are seeking an experienced and highly organised Administration & Scheduling Coordinator to join our Brisbane office. This is a pivotal role in the business—working closely with the Operations Manager and supporting field crews by ensuring jobs are scheduled, processed, and tracked efficiently.
You’ll be the go-to person for coordinating crews, liaising with clients and suppliers, and managing the smooth operation of administrative functions.
Key Responsibilities
Schedule and dispatch field crews across multiple job sites
Process incoming quotes and job orders through SimPro
Liaise with clients, tenants, subcontractors and suppliers via phone and email
Coordinate vehicle, plant and equipment servicing and repairs
Provide general admin support to the Operations Manager and office team
Data entry and document control
Maintain internal registers and compliance records
What We’re Looking For
Previous administration experience (scheduling or operations coordination preferred)
Excellent communication skills – written and verbal
Strong organisational and time management skills
Ability to multitask and prioritise in a fast-paced environment
Confident using software platforms (experience with SimPro highly regarded)
A proactive, can-do attitude and willingness to help where needed
High level of attention to detail and follow-through
Must have unrestricted Australian working rights
