The Opportunity
We are now looking for a Receptionist to join our Mackay Depot on a full-time basis.

About the role
This full time multi-faceted position is to provide efficient and professional administrative and reception support to the Mackay depot, ensuring smooth daily operations and excellent internal and external communication.
As the Receptionist, you will be supporting the following duties:
Provide timely, accurate administrative support to the Depot Manager, Depot Administrator, and wider depot team.
Support front desk activities, including answering phones, logging visitors, arranging meetings, and taking minutes as required.
Carry out general office tasks including handling mail, photocopying, scanning, filing, archiving, and basic data entry.
Assist with receiving, recording, and distributing deliveries.
Monitor and request replenishment of office supplies to keep workspaces stocked and functional.
Check and top up items in the Driver’s Room; help ensure manifests and documents are current and available.
Clear documentation from the Driver’s Room daily; compile the manifest and file fuel receipts accordingly.
Collect and scan workshop invoices daily and email them to the Accounts team.
Support depot stock organisation, including uniforms and consumables, keeping inventory records updated.
Help ensure drivers have access to required documents and information.
Respond to basic school bus queries and pass on detailed enquiries to the appropriate contact.
Carry out any other reasonable duties requested by depot leadership.
Skills and experience
Preferred but not essential: Minimum of 2 years’ experience in a similar role.
Excellent communication skills, both written and verbal.
Strong IT skills with proficiency in Microsoft Office.
A strong desire to deliver outstanding customer service.
Ability to multi-task.
Details orientated with strong analytical and problem-solving skills.
Driver’s licence.
