WHAT'S THE JOB?

The Student Services Manager is responsible for playing a vital role in the overall strategy to provide the highest quality administrative and educational services to students and academics at AIM, across both campuses. This role encompasses the following core functions:

  • Academic learning management systems
  • Academic administration
  • Data monitoring and reporting
  • Timetabling and the scheduling of examinations

The role works closely with all Student Experience & Success team members, Program Leaders, senior managers and general staff to ensure highly integrated and effective academic systems and administration is implemented and maintained. You will provide informed advice on the implementation of future technological enhancements to support AIM’s strategic goals. The role provides leadership in the achievement of the Institute's strategic plans, through operational planning and driving departmental results.

KEY RESPONSIBILITIES

Leadership & Planning

  • Lead a team that provides timely and accurate support to all academic staff in their day-to-day engagement with AIM’s Learning Management Systems (LMS) and Student Management System (SMS).
  • Lead, coach and review the recruitment, performance, development and succession of staff in the Student Services team, to drive the required performance, capabilities and culture to achieve the Institute’s strategic and operational plans.
  • Provide recommendations to the Head of Student Experience & Success, the Head of Learning & Teaching and the Director of Operations & Technology on continual improvements in SMS that are or may be appropriate for AIM’s continual development.

Academic Administration & Compliance

  • Regularly provide timely and accurate student performance data including grade results in the Student Management System (SMS).
  • Ensure that effective academic administration contributes to the achievement of positive student satisfaction and attrition metrics, working closely with all relevant stakeholders to contribute to the analysis, development, implementation and achievement of student satisfaction, reduced attrition, and enhanced graduate outcomes.
  • Maintain student records according to relevant State and Federal archiving legislation.
  • Keep abreast of administrative and systems development in higher education and make recommendations on required changes.
  • Be a champion and knowledge holder of relevant TEQSA HEF Standards that are applicable to the administration and compliance of AIM’s courses, decisions, and complaints handling.
  • Ensure all Data in SMS is accurate and adheres to all required Government reporting requirements.
  • Ensure all required data is reported to external agencies (QILT & TCSI) within required timeframes and that the data is verified for accuracy and compliance.

Enrolment

  • Ensure all processes in relation to student enrolment are completed and adhered to for each study period in a timely manner and to deadline.
  • Oversee the processing of student enrolments in the SMS, ensuring complete data profiles for student records for each study period.
  • Liaise with Finance to ensure up-front fee-paying students meet their tuition payment obligations for each Study Period, to support revenue and cash flow projections.
  • Oversee the timely processing of all Full-Fee paying student applications per applicable policy and procedure and liaise with Finance for invoicing where relevant.
  • Identify all students eligible for Graduation at the conclusion of each Teaching period and report this data to relevant Governing boards and committees.

Timetabling, Assessment & Examinations

  • Manage the development and implementation of effective and efficient timetabling processes that reflect course offerings and optimise facilities utilisation.
  • Manage all administrative aspects of examinations and assessments.
  • Ensure all unit materials are aligned to accredited delivery models, assist academic staff to access and update materials, and liaise with the Operations and Information Technology departments to ensure seamless access for both staff and students.

Data Monitoring & Tracking

  • Monitor data integrity on the SMS, including student progression details, student records, course and unit details, assessment information, calendar and timetable information, whilst ensuring consistency with other information systems.
  • Provide data, analysis, reporting and present recommendations to the Head of Student Experience & Success and the leadership team to inform key business decisions.

Student Experience

  • Assist Head of Student Experience with Orientation activities.
  • Ensure student-facing team members deliver best practice customer service.
  • Manage Student Counter staff on the applicable campus where the role is based.

WHAT ARE WE LOOKING FOR?

  1. Demonstrated high level of administrative and IT skills.
  2. Experience working within a database or administration related student administration role.
  3. Demonstrated experience in ongoing enhancement of both electronic and procedural documentation pertaining to administrative systems.
  4. Experience in implementing strategies to ensure the continuous improvement of quality of student administrative data outputs.
  5. Demonstrated experience in the provision of high-level administrative support for students, staff and other relevant internal and external stakeholders.
  6. Experience and/or understanding of government reporting protocols within the Higher Education sector.
  7. Advanced functional knowledge and experience in LMS, SMS, AMS, and Microsoft Office.
  8. Knowledge and/or experience in academic administration and associated training to support the Learning & Teaching faculty.
  9. Familiarity with relevant legislation and Standards including AQF levels and other regulatory frameworks and accountabilities governing Australian Education.
  10. Demonstrated discipline-specific knowledge and professional experience relevant to AIM Academic Programs.
  11. Team leadership skills relevant to administering academic systems and academic administration.
  12. Track record of fiscal tracking and reporting on expenditure.
  13. Experience of implementing including student satisfaction surveys and the analysis of results.
  14. Ability to manage projects with associated business impact, ensuring critical deadlines are met, and that risks, issues and resources required are effectively managed.
  15. Excellent communication skills, with a positive and practical approach to both students and staff.
  16. Ability to work positively and harmoniously with staff and students of all cultures and backgrounds.
  17. A valid Working With Children check (WWCC).
