Position Overview:
We are looking for a proactive and highly organised Operations Manager to oversee our purchasing, procurement, logistics, and sales/service administration processes. This role working closely with our COO (Chief Operations Officer), will have an emphasis on optimising systems and processes more so than direct staff management. There will also be a strong focus on internal sales and optimising revenue from within the operation. The ideal candidate will thrive in a dynamic environment and possess a hands-on approach to problem-solving.
Key Responsibilities:
Oversee and optimise purchasing, procurement, logistics, and sales administration processes to ensure efficiency and effectiveness.
Be hands on with sophisticated internal sales campaigns in conjunction with sales managers.
Implement and maintain operational systems and processes in compliance with ISO standards.
Collaborate with cross-functional teams to ensure operational excellence and high-quality service delivery.
Identify areas for improvement and develop strategies to enhance operational performance.
Support and empower team members in navigating operational challenges.
Ensure compliance with industry regulations and standards relevant to respiratory and sleep products.
Utilise analytical programs and tools to assess and improve operational metrics.
Provide day-to-day support to the sales team, including preparing quotes and responding to queries
Conduct and manage internal sales calls and campaigns
Maintain up-to-date records of all customer supply, price, and tender agreements
Manage the production order scheduling and inform the sales team of any customer changes
Assist with stock counts and reconciliations as required
Maintain the customer complaints and feedback register
Manage office supplies and oversee general office upkeep
Assist with entering asset information into our asset management software and CRM
Collaborate with the Warehouse and Logistics Coordinator to receive incoming faulty goods, ensuring proper identification and documentation with the appropriate RMA paperwork.
Qualifications:
Minimum of 5 years of operations experience, preferably in the tech, healthcare or medical devices industry.
Proven track record in a similar role with a strong understanding of operational systems and processes.
Experience working in a company adhering to ISO standards
Highly organised with exceptional problem-solving abilities
Proficiency in utilising analytical programs and tools to drive data-informed decisions
Quick learner who can adapt to new challenges and changes in the operational landscape
Ability to work independently and take ownership of tasks without constant supervision
Strong attention to detail with excellent organisational abilities
Outstanding interpersonal and communication skills, both oral and written
A methodical and structured approach to completing tasks
Ability to prioritise effectively and manage shifting priorities
Proactive problem-solving mindset
Proficient in Microsoft Office programs (Word, Excel, Outlook)
Familiarity with accounting or inventory software systems
Experience using asset management software is highly regarded
