Clinical Services is the heart of professional practice, quality, education, research, and governance at Ambulance Tasmania. We lead and support the development of clinical excellence across the state, working to ensure our paramedics and clinical teams deliver safe, evidence-based, and compassionate care to the Tasmanian community.
The Role:
The Executive Support Officer plays a vital role in enabling the smooth operation of the Clinical Services leadership team at Ambulance Tasmania. Reporting directly to the Executive Director - Clinical Services, this position provides high-level administrative and executive support across a range of sensitive, complex, and critical activities.
Key responsibilities include managing the day-to-day administration of the Executive Director’s office, coordinating complex documentation such as Department Minutes, Ministerial Briefs, and Question Time Briefs, and maintaining efficient communication systems to ensure timely flow of information across Clinical Services, the Department of Health, and other key stakeholders.
This role demands a high degree of professionalism, initiative, attention to detail, and the ability to manage competing priorities in a fast-paced, sensitive environment. The Executive Support Officer also plays an important part in upholding Clinical Services’ commitment to quality, governance, and continuous improvement, supporting better outcomes for our people and the communities we serve.
You will need
- Sound knowledge of contemporary office management practices and administrative skills.
- Demonstrated organisational and self-management skills with the ability to meet concurrent deadlines with a high degree of accuracy within a busy office environment.
- High level interpersonal, written and verbal communication skills to effectively liaise with Agency staff, other emergency organisations as well as clients in a sensitive and confidential manner

Details of appointment:
Permanent, full time, day worker position, working 76 hours per fortnight, commencing as soon as possible.
*notwithstanding hours to be negotiated with the successful applicant.
Applicants should note that, for a period of twelve months from the date of publication, this selection process may be used to fill subsequent or similar full time, part time, and casual vacancies.
Salary: $73,811 to $79,779 per annum. Our Employer 11.5% superannuation contribution is on top of this amount.
- Salary range is in accordance with Public Sector Unions Wages Agreement 2022

1. Provide administrative support to the Executive Director - Clinical Services including the use of initiative in the preparation of Department Minutes, Ministerial briefs, routine reports and other correspondence as required. 2. Provide administrative and clerical support services to the Executive Director - Clinical Services including note taking, scheduling of meetings and other appointments and the maintenance of a comprehensive diary of appointments. 3. Coordinate and provide secretarial assistance to committees as requested by the Executive Director - Clinical Services including compilation of agenda papers and minutes, and management of confidential information. 4. Arrange conferences and meetings of intra and interstate ambulance service personnel, as required, including quotes for conference venues, catering, accommodation and travel requirements. 5. Provide administrative support and assistance in the coordination of ongoing projects. 6. Undertake sensitive and confidential reception service as well as dealing with client enquiries on AT matters, and other routine matters, as required. 7. Undertake general clerical and organisational duties associated with the day-to-day operation of the office. This includes the maintenance of an effective communication system to ensure the timely flow of information to and from the Department of Health, emergency services and regions and the coordination and dissemination of incoming and outgoing files and papers as required including Secretary and Ministerial response and question time briefs. 8. Collate and compile regular and ad hoc statistical and other reports and maintain databases and spreadsheets to assist with reporting processes. 9. Undertake administrative research tasks as required (e.g., search files to establish history of events etc.). 10. Source, prepare and compile patient related records for approval to be released, when requested, to the Coroner, Tasmania Police, the patient, or other appropriate parties. 11. The incumbent can expect to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualifications and experience normally expected from persons occupying positions at this classification level.
