About the Opportunity
The Secretariat Officer is responsible for providing high-level administrative and logistical services to NT PHN’s governance forums, the Board, committees, councils and working groups. This role ensures the effective planning and operation of meetings through development and dissemination of agendas, minutes, action tracking, and correspondence.
The Secretariat Officer also plays a key role in facilitating communication between stakeholders and maintaining accurate, relevant and timely information to assist with meeting required statutory and compliance responsibilities.
Responsibilities;
Reporting to the Corporate Services Lead, the Secretariat Officer position is accountable for:
Meeting Coordination; including scheduling meetings, preparation of agendas, minute taking and ensuring actions are recorded and followed up on.
Administrative Support; including management of correspondence, maintaining accurate records and ensuring compliance with organisation policies, as well as providing secretarial support where required.
Stakeholder Engagement; acting as a key point of contact for committee members and stakeholders, facilitating effective communication between internal and external parties and supporting the implementation of governance frameworks and policies.
Compliance and Record-Keeping; ensuring meeting records comply with organisational policies and regulatory requirements, managing confidential and sensitive information with discretion and supporting audits with accurate documentation
General; working respectably and inclusively with Aboriginal and Torres Strait Islander Peoples and people from diverse backgrounds, contribute to a positive workplace culture by working collaboratively and purposefully across the organisation and maintain a proactive approach to work health and safety.
WE'D LOVE TO CHAT IF YOU HAVE;
Knowledge or training equivalent to a certificate IV or diploma in administration, corporate governance or business or an equivalent combination of relevant experience and/or education/training.
Minimum 4 years of relevant experience in a similar role.
High level administration and organisational skills showing capacity to prioritise multiple tasks.
Proven ability to collate agendas, draft minutes, reports and provide high level and accurate secretariat duties.
Demonstrated computer literacy with proficiency in a range of software packages including Microsoft Office applications, Microsoft Outlook, Diligent software and Microsoft SharePoint.
Strong written and verbal communication skills, provide quality assurance, checking grammar, spelling, adherence to appropriate standards and formatting requirements and the ability to provide a high level of customer service.
Ability to build rapport, develop business relationships and contribute effectively to a team using initiative, provide advice and assistance to staff in the preparation of reports and actions required.
Strong organisational skills with the proven ability to work independently and to proactively solve problems, identify obstacles or issues in systems and processes and offer/initiate practical solutions to resolve these issues.
Applicants will be required to work 8:00 am to 4:30 pm Monday to Friday to align with business operating hours and may be required to work overtime to accommodate governance forums.
