A RARE Opportunity in Queanbeyan/Canberra: Imagine a career where you can truly make a difference in mental health care, with hybrid work arrangements at our Queanbeyan office and home.
We started Wellvue because we knew mental health care in Australia could be better. People were waiting too long and facing accessibility issues and we’re here to make things smoother, more supportive, and easier to access.
Summary:
Wellvue is at the forefront of transforming mental health care through innovative telehealth solutions. We're looking for an experienced and enthusiastic Senior Medical Administrator to join our team. This role offers a fantastic blend of in-office collaboration and remote work, giving you the best of both worlds.
You will play a key role in leading and improving our daily operations. Your work will directly impact how we deliver our services, ensuring everything runs smoothly for our growing team of remote mental health professionals and administrative staff.
We’re looking for someone confident in their craft - calm under pressure, great with people, and naturally good at getting things done. Someone who sees challenges as opportunities and isn't afraid to bring fresh ideas to the table. You'll be a leader who anticipates needs, takes initiative, and helps us make our service delivery even better.
You'll play a vital role in shaping how we operate, not just managing systems, but constantly improving them through insight, collaboration, and initiative.
Join a team that truly values each other, where collaboration and support are at the heart of everything we do.
Key Responsibilities:
Oversee day-to-day operations, including scheduling, billing, and general administration.
Guide and support our remote team of clinicians and receptionists, ensuring they feel valued and perform at their best.
Develop and refine our administrative systems, making them even more efficient and improving the quality of our service.
Work with our clinicians to ensure our telehealth services run without a hitch.
Manage financial tasks, as required, including budgeting, invoicing, and payroll.
Ensure we're always following healthcare regulations and laws.
Listen to and address any feedback or concerns from patients and staff.
Build strong relationships with key partners in the healthcare and technology sectors.
Coordinate patient care, resolving any issues quickly and compassionately.
Lead initiatives to ensure we maintain the highest standards of care.
Help us navigate change and advancements in telehealth, keeping our team up-to-date and prepared.
Develop and track key metrics to measure our success, focusing on patient satisfaction, clinician performance, and operational efficiency.
What We're Looking For:
Solid experience in healthcare practice management.
Strong leadership skills and experience managing teams, especially remote ones.
Are inquisitive and proactive, always seeking ways to improve systems, processes, and service quality.
Love learning — whether that’s new telehealth tech, regulatory changes, or insights from clinicians and patients
Excellent organisational, communication, and problem-solving skills.
Knowledge of healthcare systems, Medicare Benefits Scheme, and relevant regulations and best practices.
Comfortable with technology and healthcare IT systems.
Eager to learn and stay up-to-date with telehealth regulations in Australia.
A genuine passion for providing high-quality patient care and clinician support.
Ability to work well independently and as part of a team in a fast-paced environment.
A deep understanding of patient confidentiality and how to protect patient information in a digital setting.
Commitment to helping our team grow professionally, including ongoing training in healthcare administrative practices and new technologies.
Skills in managing crises remotely, especially when a patient may be at risk.
Mandatory Experience:
At least 3 years in a healthcare administrative role, with 1 year in a management or supervisory role.
If you’ve been the go-to person in your team, managed workflow, trained others or taken the lead when someone was away, we want to hear from you.
Bonus Points:
Experience in telehealth or remote healthcare.
Familiarity with Halaxy Or Coviu.
Ability to build relationships with other health professionals and engage in business development activities.
Understanding of mental health services and their unique challenges.
A strong desire to advocate for mental health and stay informed about the latest trends.
This role is perfect for someone who is proactive, innovative, and passionate about making mental health care more accessible and effective. As Wellvue continues to grow, you'll play a vital part in shaping our services and making a real difference in people's lives.
