We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to the CEO. The ideal candidate will excel in diary and time management, and project coordination, with some experience in bookkeeping, ensuring seamless operations and timely completion of tasks. This role requires exceptional attention to detail, strong communication skills, and the ability to multitask in a fast-paced environment.

Diary and Time Management:

Efficiently manage calendars, schedule appointments, and coordinate meetings, ensuring optimal use of time and resolving scheduling conflicts.

Plan and organize travel itineraries, including flights, accommodations, and transportation.

Send reminders for upcoming commitments and deadlines to keep schedules on track.

Bookkeeping:

Handle basic financial tasks, including tracking expenses, managing invoices, and processing payments.

Maintain accurate financial records using tools like QuickBooks, Xero, or Excel.

Prepare expense reports and assist with budget monitoring to ensure financial transparency.

Project Coordination:

Monitor ongoing projects, ensuring milestones and deadlines are met.

Liaise with team members, contractors, or stakeholders to track progress and address any issues.

Organize project-related documents and maintain clear, accessible records.

Administrative Support:

Handle email correspondence, prioritize communications, and draft responses as needed.

Organize and maintain digital and physical files for easy access.

Perform ad-hoc tasks, such as research, event planning, or personal errands, as required.

Qualifications and Skills:

Proven experience as a Personal Assistant, Administrative Assistant, or similar role.

Exceptional organizational and time-management skills with a keen eye for detail.

Proficiency in bookkeeping and familiarity with accounting software (Xero).

Excellent written and verbal communication skills.

Proficient in Microsoft Office Suite (Word, Excel, Outlook) and calendar management.

Ability to handle sensitive information with discretion and maintain confidentiality.

Proactive, adaptable, and able to work independently with minimal supervision.

Highly reliable and professional, with a strong work ethic.

Calm under pressure and able to prioritize tasks effectively.

Friendly and approachable, with excellent interpersonal skills.
