We’re looking for a highly organised and proactive Operations Coordinator to join our Sydney headquarters and play a key role in keeping our internal engine running smoothly.
About the Role
This is a foundational operations role designed to bring structure, clarity, and follow-through across Lumicare’s internal workflows. You’ll support logistics, sales ops, CRM upkeep, and cross-functional coordination, helping ensure our teams stay aligned and our systems stay on track. Key Responsibilities
Workflow & Process Coordination
Maintain and improve internal workflows (e.g. onboarding steps, asset transfers, approvals)
Coordinate and follow up on cross-departmental tasks
Assist in documenting standard operating procedures and internal processes
Operations Support
Track and maintain registers (assets, contracts, onboarding)
Coordinate internal logistics (e.g. demo units, returns, trial devices)
Support document control across SharePoint, Teams, and CRM platforms
Assist in preparing documentation for customers, suppliers, and distributors
Systems & Data Management
Maintain accurate records across CRM, forms, and trackers
Run basic reports (e.g. onboarding pipeline, task status, asset usage)
Identify and flag inconsistencies or process gaps
Cross-Functional Communication
Act as a central point of coordination between Sales, R&D, Regulatory, Customer Support, and Finance
Follow up on outstanding action items and internal approvals
Ensure up-to-date operational documentation is available across teams
About You

Key Skills
Exceptionally organised, able to manage multiple workflows, trackers, and processes without dropping the ball
Detail-oriented, strong habits around documentation, file structure, naming conventions, and task accuracy
Tech-savvy, confident using Microsoft 365, SharePoint, Excel, Teams, and CRM tools
Proactive and self-directed, spots gaps and solves problems without waiting to be told
Strong written communication, follows up clearly and professionally across departments
Process-minded, enjoys refining how things work and translating that into clear SOPs
Resilient and calm under pressure, keeps things moving even when timelines shift or requests pile up
Collaborative, works well with diverse teams (e.g. sales, support, regulatory, logistics)
Preferred Experience
2–4 years in operations, workflow coordination, logistics, or administration
Experience in medtech, logistics, SaaS, health, or manufacturing is a plus
Familiarity with CRM systems and shared cloud file structures
Experience working in a scaling or startup environment
