Role Overview
As the Executive Assistant, you will play a crucial role in supporting C-suite leadership and ensuring the smooth running of daily operations. Your proactive approach and attention to detail will be essential in managing high-level priorities, schedules, and communications.
You will assist senior leadership by coordinating meetings, handling confidential information, and managing travel arrangements. Additionally, you will oversee office logistics, support internal communications, and contribute to enhancing overall business operations. Your ability to balance executive support and administrative tasks will help drive efficiency, foster a positive company culture, and contribute to the business's ongoing success.
Responsibilities
- Manage senior executives' diaries, ensuring no double bookings or conflicts
- Coordinate internal and external meetings, aligning calendars across stakeholders
- Organise travel arrangements, including flights, accommodation, and transport
- Book venues and manage logistics for executive offsites, client meetings, and events
- Ensure meetings are well-supported with catering, room set-up, and materials
- Serve as the main point of contact for couriers, guests, and office enquiries
- Oversee office supplies, grocery orders, and maintain a clean kitchen area
- Liaise with building management on maintenance or facility issues
- Prepare meeting rooms with refreshments and materials for a professional setting
- Assist with day-to-day office requests to ensure a positive work environment
- Coordinate employee onboarding and offboarding, including IT setup and paperwork
- Post job ads and manage interview scheduling
Candidate Profile
You are a proactive and highly organised professional with 5+ years of experience as an Executive Assistant. With exceptional attention to detail and strong time management skills, you thrive in fast-paced environments and excel at supporting senior leadership. Skilled in managing complex schedules, coordinating travel, and overseeing office operations, you anticipate needs and ensure smooth, efficient processes behind the scenes. Adaptable and calm under pressure, you effectively handle shifting priorities and conflicting demands. As a strong communicator, you are confident in liaising with a wide range of stakeholders and enjoy fostering a positive, inclusive work culture.
