The Role

The Project/Contract Administration Officer provides quality project administration support services to Project Managers, Superintendents and Superintendent's Representatives in the Construction space.

You will be responsible for:

  • Create, maintain, reconcile, and close projects and work orders.
  • Prepare contractual letters and maintain accurate records and files.
  • Manage monthly billing activities, including reviewing unbilled costs, validating billing files, resolving discrepancies, and distributing supporting documentation to clients.
  • Conduct regular system data reviews to identify inaccuracies, prepare journals and credits, and implement necessary system updates.
  • Generate procurement purchase requisitions, process accounts for payment within critical timeframes, and monitor and resolve open purchase orders.
  • Validate contractor invoices via web portals and follow up to resolve discrepancies and improve data accuracy.
  • Ensure high standards of accuracy in compiling documents, reports, and updating information systems
  • Identify and report issues related to work order profitability and ensure project data accurately reflects financial performance for effective management.
  • Prepare timely and accurate program reports for both internal and external stakeholders.

You

The successful candidate will have a strong administration background. You will have the following key competencies:

  • 12 months + experience in a Project Administration or Contract Administration role within the construction industry or similar
  • Microsoft Suite experience including Excel
  • Able to work within critical timeframes
  • Excellent communication skills
  • Ensure high standards and accuracy when compiling documents and reports or updating records and information systems (eg: in Ellipse, Aconex and Microsoft Office)
