About the Role
The role of Administration Officer is responsible for providing quality administrative support to stakeholders of the Aged Care Volunteer Visitor Program and the wider Volunteer Relations team.
This role plays an important part in ensuring the smooth-running operations of the team’s function through efficient administrative services, customer service, data collection, and reporting.
Key Role Accountabilities:
Under the direction of the Coordinator - Volunteer Visitor Program and consistent with the principles of continuous quality improvement, the Administration Officer will be responsible for:
Aligning their workplace behaviour with the WMQ Model of Care, the Wesley Charter, and Wesley Mission Queensland's Vision, Mission, and Values.
Providing quality administrative support to the team, including meeting and diary management and general administrative duties.
Maintaining positive relationships with stakeholders and delivering exceptional customer service.
Developing and maintaining effective communication with stakeholders, ensuring the timely dissemination of information.
Collecting, recording and managing stakeholder records.
Assisting with the preparation and management of presentations, documentation and spreadsheets.
Collecting, inputting, and reporting on data in line with funding requirements.
Ensuring compliance with legislative and regulatory requirements.
Attending meetings and supporting the coordination of events and functions where necessary.
Performing other duties and assisting with initiatives as directed by the Manager - Volunteer Relations.
About You
Business-related qualification and significant administration experience.
Advanced knowledge of administration gained through experience, training, or education.
Knowledge of and experience interpreting statutory requirements and systems relevant to the workplace.
Demonstrated experience in accurate and efficient compliance collecting, recording, auditing and reporting on data.
Proven experience in diary and meeting management.
High attention to detail, excellent personal organisation skills and the ability to prioritise and work effectively in a busy environment.
Excellent interpersonal skills, including application of customer service principles to all stakeholders.
Advanced skills in the Microsoft Office suite of applications particularly Word, Outlook and Excel.
Experience utilising customer management systems or volunteer management systems.
Desirable:
Experience working in an administration setting within a not-for-profit organisation.
Knowledge of or ability to gain knowledge of the Aged Care Volunteer Visitor Scheme.
