St Teresa's College, Abergowrie is a Catholic secondary boy's boarding college. Located in an ideal rural setting in the heart of the Herbert River Valley, the College is approximately 30 km north west of Ingham and situated on Warrgamay land. The main industries are sugarcane, forestry, and cattle. Abergowrie is close to Wallaman Falls which is the highest single drop waterfall in Australia and the beautiful Broadwater National Park.

St Teresa's College is seeking a dedicated and committed School Officer - Residential Administration. This is a Part Time, permanent position completing 38 hours per week across 45 weeks of the year. The position will commence as soon as practicable.

About the role

The role of School Officer – Residential Administration plays an important role supporting the Director of Boarding to deliver quality focused reception and administrative activities to support structures, processes and initiatives within St Teresa’s Catholic College. As a point of contact is integral, this position presents a professional image and creates a welcoming, warm and positive impression whether via phone, email or in person. The School Officer – Residential Administration will be required to undertake a broad range of administrative tasks to support the school community and will offer diversity with scope of work being undertaken to ensure effective outcomes. The School Officer - Residential Administration will be required to exhibit professionalism in their dealings with boarders, parents and boarding staff and will strive for the highest standards in carrying out their duties and boarding procedures. The School Officer – Residential Administration may be required to work some weekends to support the Director of Boarding.

Key Accountabilities

Support the delivery of operational tasks associated with reception and administration including:

Oversee the parent/student reception.

Mail management and distribution

Responding to incoming telephone and email enquires

Dealing professionally with and directing enquiries of parents, visitors and contractors

Data entry to support registers and record management.

Organising and assisting with coordinating travel for students, staff chaperones and families

Liaising and assisting stakeholders, external service providers e.g., Services Australia and Corporate Travel Management

Provide administration support that meets the day-to-day requirements of the school including:

Co-ordinate dissemination of information to staff and students

Production of documents – letters, registers, spreadsheets

Assist in the production of internal and external documents

Sort, prepare and file documents as required

Assist with banking and receipting of items

Support the delivery of tasks associated with community participation and school functions:

Assist with the organisation of school events

Arrange catering for school events

Assist in the production of event supplies and merchandise

Administer first aid where necessary

Monitor inventory for stationery and first aid supplies

Money handling.

About you

Experience

Previous experience providing generalist administrative support

Demonstrated capacity to organise and prioritise a range of tasks and set priorities to meet deadlines in a busy office environment

Demonstrated ability to work independently and as part of a team to deliver support

Proven ability in providing accurate and informative assistance to staff, students and parents confidently.

Mandatory Criteria

Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government

Minimum certificate level or higher qualification or equivalent relevant experience

First Aid Certificate or the ability to attain one

Ability to travel from time to time within the Catholic Diocese of Townsville

Ability to perform the physical requirements of the role in a safe manner.

Desirable Criteria

Recent administration and/or reception experience in a school or other environment

Some employees may be subject to pre-employment medical assessments during the selection process. Depending on the nature of the position, it may be necessary for successful applicants to be immunised against certain preventable diseases in order to minimise the risk of transmission.
