What does an Administration Officer do?

Our Admin Officers’ primary responsibilities are:

Assist the General Manager WA to prepare monthly reports

Assist in the preparation of quality records and documentation for submission to the Clients

Answer the office phone, triage calls, take messages

Receiving & despatching of goods

Handle incoming/outgoing mail and coordinate couriers

Monitor and order office supplies (tea, coffee, stationery, etc.)

Raise purchase orders for requisitions

Follow up on outstanding purchase orders with suppliers

Matching of purchase orders to delivery dockets and invoices

Raising Sales Orders for inventory spare parts from UK, France & Sweden

Maintain and update tracking spreadsheets as required

Maintain and update PnL spreadsheets as required

Review and consolidate Subcontractor Monthly Reports and progress claims

Assist with on-boarding and off-boarding of staff, including hardware returns

Provide office inductions for new employees and inform them of amenities and emergency procedures

The responsibility of the Administration Officer is to provide general administrative support to the General Manager WA and the General Manager Australia with all aspects of Australian Business.

Therefore, we require you to have had a minimum of 2-3 years of experience working in a similar fast-paced office and/or Project Management environments.

What else do you need for this role?

We’re a small team, so extra skills go a long way to becoming an integral part of our Australian business. As well as your administration skills we also need you to:

General understanding of accounts systems ie Xero

Previous experience within an administrative role

Intermediate level skills with Google Suite (Docs Sheets and Slides) and Microsoft Word and Excel

Sound level of computer literacy

Possess sound time management and prioritising skills

Follow written and verbal work instructions and procedures as directed

Sound planning and prioritising abilities

Ability to deal with individuals at all operational levels

Effective time management and Communications skills

Financial awareness and ability to manage finances

Sound judgement and analytical skills

Be confident in working autonomously and without direct supervision; this means you’ll often be responsible for your own time management and activity prioritisation

Our APAC customers; are local state government transport authorities, and the public transport operators which run the services. We are also work with Parking Operators and local councils.
