The Arts & Culture Division contains the following departments:

The Division is overall responsible for facilitating student participation and engagement in student-lead artistic activities, for working with elected student representatives to provide artist and cultural and programs that support the objectives of UMSU, and the operation of services that support students on campus.
The activities and services provided by the Arts and Culture Division are integrated and collaborative, and responsive to the needs of students. The Division seeks to maximise opportunities for student participation and engagement.
About the role
The Events Officer will play an integral role in the development and delivery of high-quality events that will enhance student life and foster a vibrant campus culture.
Working closely with colleagues in the Events & Production team, you will support the planning and implementation of UMSUās events program, encompassing a range of end-to-end activities to deliver events.
Combining arts administration expertise with on the ground event delivery, the role supports UMSUās mission to provide inclusive, student-led experiences that reflect and uplift the diverse student body.
The role also supports the development of new opportunities for collaboration with industry and community partners that reflect UMSUās values and student-focused mission.
As an organisation providing student-facing services and events, an inherent requirement for this role is the ability to work in person and on site and may require some manual handling of equipment. UMSU staff employment conditions are covered by the University of Melbourne Student Union Agreement 2023-2025.
Core responsibilities of your role include:
Support on the ground delivery of UMSUās major eventsāincluding Orientation Weeks, cultural festivals, themed campaigns, and student-led initiatives.
Work cohesively with and coordinate volunteers, student groups and key stakeholders to deliver events.
Maintain comprehensive event documentation, including contracts, financial records, and administrative files to ensure transparency and accessibility.
Oversee external contracting processes, including liaison with external contract managers and artists in collaboration with the Events Coordinator.
Manage incoming event-related invoices, ensuring timely processing and alignment with contractual obligations.
Prepare risk assessments in consultation with the Events Production Officer, manage accessibility measures, and crowd management planning.
Lead post-event reviews, evaluations, and continuous improvement processes in partnership with student reps and stakeholders.
Prepare reports, proposals and correspondence on events as required.
Your Expertise (Need to Have)
Diploma level qualifications in event management, communications, community development or engagement, or extensive relevant work experience; completion of a Certificate IV with relevant work experience; or completion of a post-trades certificate and extensive relevant experience and; on the job training; or completion of a Certificate Ill with extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.
Demonstrated success in delivering large-scale events and community engagement initiatives.
Strong relationship-building skills with a proven ability to work collaboratively with diverse stakeholders including students, community partners, sponsors, and suppliers.
Excellent written and verbal communication skills, including experience preparing contracts, proposals, reports, and promotional content.
Highly organised and adaptable, with experience working across multiple projects and meeting deadlines.
Proficient in Microsoft Office, CRM systems, project management tools, and digital communication platforms.
A valid employee Working with Children Check.
Bonus Points (Nice to Have)
Experience in arts organisations, student unions, higher education, or youth-led organisations.
Understanding of the principles of student unionism, diversity, and inclusive practice.

This is a Part-Time, Fixed Term role (4 days per week), position with a starting base salary of $82,219.74, plus 12% superannuation
