Foodbank WA is looking for a Corporate Partnerships & Volunteering Administrator to support the fundraising team with Corporate Group Volunteering bookings for the Perth branch with the goal to enhance every corporate volunteering booking and then onsite experience. This role plays a pivotal role to ensure positive experiences and enhance the ability to continue and grow existing partnerships for additional funding and donations.

Key responsibilities
Efficiently manage phone and email booking enquiries, ensuring prompt and professional responses
Managing all aspects related to the booking platform, including coordinating new changes required with the platform provider when necessary
Reconciliation of booking information across finance and Salesforce
Generating and executing all communication aspects related to volunteer bookings, pre and post aspects including outcomes and pictures, cancellations and changes, payments, accurate collection of data, photo and media consent, dietary requirements, etc.
Overdue invoice tracking and payment follow up
Work collaboratively with the Fundraising, Warehouse, Branch and Finance Teams to ensure prompt and comprehensive responses to all enquiries, maintaining a positive and professional approach
Recording of corporate volunteering session benefits to partners against deliverables within the Salesforce system.
Effective and timely communication to all internal stakeholders about any booking changes
Create and maintain up to date records of all major corporate partners deliverables in Salesforce and Planner
Major Corporate Partner deliverables will cover social media posts, media releases, newsletter articles, volunteering sessions, operations aspects to food, nutrition education aspects, reporting and financial acquittal of funds
Maintain the Funds Needs Register of all approved CAPEX and new projects
Liaise with relevant internal departments to collect information about the Need, the Impact and other information needed to create proposals
Ensure the new Project Funding Template is completed and all approvals have been received
Contribute, along with other staff members, to the smooth running of the office by answering phones, maintaining accurate partner contact information in Salesforce and through assisting with other administration duties
Contribute to the accurate uploading of information in key reports and CRM systems (with a focus on Salesforce)
Assist at fundraising events as required. This may include weekend and after-hours work.
Assist with ad hoc administration tasks
Essential criteria
Experienced in customer service and proven experience in a relationship role
Highly developed communication and interpersonal skills
Ability and willingness to learn the company CRM system
Strong computer skills, with proficiency in Microsoft Office
Exceptional attention to detail – specifically information recorded, ability to multitask and have a flexible approach.
Ability to show initiative, problem solve and work productively with a positive, can-do attitude
Ability to work independently and as part of a team in a fast-paced environment
Excellent organisational and time management skills, with the ability to prioritise tasks effectively
Experience handling confidential information with discretion and professionalism
Highly professional and articulate with the ability to maintain accurate records
Desirable criteria
Experience working in a fundraising environment
Experience working in charities and the NFP sector dealing with poverty, health or disadvantage
Understanding and experience with Salesforce or similar CRM platform
Strong administration and process skill set

Must be an Australian Citizen/ Permanent Resident
Hold valid Australian work rights
National Police clearance
Medical assessment of current health
Willing and able to work occasional evenings and weekends to support fundraising events
