About the Role

We are seeking applications for the Full Time (12 Month Maternity Leave Cover) role of Information Archives Specialist. This role reports into the Manager - Information, Communication and Technology (ICT), liaising with all levels of management and employees to carry out the day-to-day coordination of the Records and Archives function within the Trust.

In this role you will:

Lead the day-to-day operations of the records management, archiving, mailing and support services functions and create an efficient working environment by assisting in implementing and maintaining sound office management practices.

Provide support to the Information and Archives team to ensure the delivery of responsive and high quality services to clients.

Maintain systems and services to meet the needs of a changing organisational environment.

Provide leadership, information, support and training around the Trust’s archive management solutions and records keeping practices.

Ensure that the organisation meets and complies with QLD State Archive requirements, by ensuring files and boxes are correctly registered, stored and disposed of in line with requirements and policy.

Review, develop and implement general administrative policies and procedures to improve the efficiency of administration systems to ensure compliance with government directives and legislative requirements.

Collaborate with the relevant departments in reviewing and maintaining purchasing policies and procedures related to stationary and archival material to ensure efficiency in the procurement process.

Collaborate with the relevant departments in reviewing, developing and implementation of general administrative policies and procedures to improve the efficiency of administration systems to ensure compliance with government directives and legislative requirements.

Provide administrative support to the Manager, Information, Communication and Technology as required.

Comply with and implement applicable legislation, codes and policies including anti-discrimination, EEO and workplace health and safety legislation.

Any other duties as directed and/or required.

About You

To be successful in this role, we are looking for:

Demonstrated experience in a corporate records and archives position, including administration, planning and coordination.

Demonstrated experience in managing staff in a records or office supervisory position.

Demonstrated ability to be proactive in ongoing improvements to administrative procedures and record management systems, as required in a changing environment.

Demonstrated proficiency in use of computerised Archive management and document management systems, or the ability to acquire such knowledge rapidly.

Demonstrated ability to deliver high quality and responsive services to clients.

Demonstrated office management experience including administration, planning and coordination skills.
