Scope and Purpose of the Job
We are seeking a meticulous Rostering and Systems Assistant to support the efficient operation of our organisation. In this role, you will assist with the management of our rostering and administrative systems, and other critical admin functions with accuracy, ensuring compliance, consistency, and high-quality outcomes.
The ideal candidate will demonstrate exceptional attention to detail, proactive problem-solving skills, the ability to communicate effectively while juggling multiple tasks and be highly organised.
Location: Moruya, NSW
Reports to: HR Officer
Hours: Full time 38 hours per week - SCHADS Award Level 3.1
Responsibilities and Duties
Rosters
Develop, manage, and maintain accurate, efficient rosters that align with client requirements, employee availability, and service delivery needs.
Ensure rosters meet both operational and compliance standards, including appropriate skill matching and adherence to legislative requirements.
Adjust rosters to account for last minute changes such as employee absences, client requests, and urgent service delivery needs.
Manage employee availability, including leave requests, shift preferences, and sickness, ensuring suitable replacements are arranged.
Client & Employee Liaison
Alongside the rosters team, act as a point of contact for both clients, employees and third party organisations regarding roster related queries, ensuring clear and open communication.
Administrative Functions
· Maintain confidentiality and ensure sensitive information is handled appropriately.
Maintain and organise accurate electronic and paper filing systems.
Regularly review and update records to meet compliance and reporting standards.
Assist the team in completing forms and documents.
Follow written processes with accuracy.
Communication and Client Engagement
Respond promptly and accurately to inquiries, ensuring clarity and professionalism.
· Engage with clients, employees, and visitors in a friendly and professional manner.
Draft, proofread, and distribute documents, letters, and emails to a high standard.
Systems and Operational Support
Enter and update client and employee data in administrative systems and spreadsheets with accuracy.
Support the implementation and ongoing management of the rostering system.
Payroll Support
· Assist as required in maintaining accurate payroll records and address payroll-related inquiries.
General Administrative Duties
Manage phone calls, texts, emails, and correspondence promptly and professionally.
Selection Criteria
Proven experience in rostering or workforce scheduling, ideally within the disability, aged care, or healthcare sectors.
Proven ability to uphold confidentiality and privacy at all times.
· Demonstrated excellent organisational and time management skills, attention to detail, the ability to prioritise and manage multiple tasks.
Excellent written and verbal communication skills, enabling effective interaction with people with disabilities, families, employees, and other professionals.
Ability to work independently and as part of a team in a fast-paced environment.
Proficiency in using computers and smart devices (smart phones, tablets etc) including Microsoft Office suite (Word and Excel).
Desirable
Previous experience working within the NDIS sector or similar disability support services.
Previous payroll experience.
Experience with systems like Canva.
