Murujuga Aboriginal Corporation (MAC) is the incorporated body representing the Ngarluma, Yindjibarndi, Mardudhunera, Yaburara and Wong-Goo-Tt-Oo peoples, as Traditional Owners and Custodians of Murujuga.
A place of outstanding natural beauty, Murujuga Cultural Landscape is nominated for World Heritage Listing for its more than one million petroglyphs dating back over 50,000 years, its living cultural traditions spanning the same period, and as an outstanding example of human interaction with the environment through periods of significant climatic change.

The Role
This position provides high-level, confidential secretarial and administrative support to the Chief Executive Officer (CEO). The Executive Assistant is a key enabler of the CEO’s productivity and effectiveness, ensuring proactive coordination of schedules, communication, and priorities.
In addition to core support responsibilities, the Executive Assistant will contribute to organisational governance by maintaining the board action register, drafting agendas for board meetings, and providing administrative assistance to Legal Counsel on an ad-hoc basis. The role also includes mentoring other administrative staff and supporting cross-functional activities aligned with MAC’s strategic goals.
Key Responsibilities
Executive and Board Support
Manage the CEO’s schedule, including appointments, meetings, events, and deadlines.
Draft, coordinate, and prepare agendas for Board and Committee meetings.
Maintain all Board Registers and ensure timely follow-up and tracking of action items.
Assist the CEO with the preparation of reports, presentations, and strategic documents.
Compile briefing materials and background documents for meetings.
Maintain a proactive diary management system with follow-ups and reminders.
Assist with minute taking for Director Board Meetings.
Administrative Operations
Screen and manage incoming correspondence and redirect where appropriate.
Organise travel itineraries, bookings, and logistical support for the CEO, as well as all MAC employees when required.
Maintain confidential records and filing systems, ensuring secure handling of sensitive information.
Undertake ad hoc research tasks and administrative projects as directed.
Provide administrative assistance to Legal Counsel, including document formatting, scheduling, and file management.
Provide high-level administrative and coordination support to the Board of Directors, as directed by the CEO.
Communication and Stakeholder Liaison
Act as the first point of contact for the CEO, including screening visitors and calls.
Liaise professionally with internal and external stakeholders.
Draft correspondence and communicate on behalf of the CEO when required.
Team Support and Mentoring
Assist in mentoring and supporting the development of administrative staff.
Share best practices and tools to improve administration across the organisation.
Organisational Contribution
Model MAC’s values, mission, and strategic objectives.
Abide by MAC’s code of conduct and employment conditions.
Actively identify and pursue opportunities for continuous improvement.
Undertake other duties as directed by the CEO.
Selection Criteria
Applicants must address the following selection criteria in their cover letter:
Demonstrated experience providing executive-level administrative support, including managing complex calendars, drafting high-level documentation, and liaising with senior stakeholders.
Strong organisational and time management skills, with the ability to manage competing priorities and deliver under pressure.
High-level written and verbal communication skills, including the ability to draft formal correspondence, prepare agendas, and take accurate meeting notes.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, SharePoint, and Teams) and the ability to use online collaboration tools and audio/visual systems effectively.
Experience in supporting governance processes, including maintaining board registers, preparing board documents, and liaising with directors or governance professionals.
Discretion, integrity, and the ability to handle sensitive information with confidentiality.
Demonstrated ability to work independently while contributing positively to team and organisational culture.
Desirable
Current C-Class Driver's License.
Experience mentoring administrative staff.
Knowledge of or willingness to learn about Murujuga Country and community.
