About the role:

We’re seeking a detail-oriented Administrative Coordinator to join our team on a casual/part-time basis. You’ll support day-to-day operations across scheduling, invoicing, recruitment, onboarding, and client services. This role is essential in ensuring smooth workflows and enabling our team to deliver exceptional support to families.

Key Responsibilities:

Client and Appointment Management:

  • Assist with managing appointment scheduling, waitlists, and general administrative tasks to support day-to-day operations.
  • Collect and maintain accurate, up-to-date client documentation and records, ensuring all information is well-organised and accessible.
  • Provide exceptional customer service to clients, fostering a welcoming and professional environment.
  • Oversee end-to-end lead management, including responding to new enquiries, explaining services, and coordinating initial bookings and intake documentation.

Administrative Support:

  • Assist with planning and organising school holiday social groups, including coordination, resource preparation, and logistics.
  • Generate and issue invoices, ensuring correct line item numbers are applied.
  • Follow up on debtor accounts in coordination with the accounts team as required.
  • Provide general administrative support to enhance operational efficiency and streamline workflows.

Team Collaboration and Development:

  • Collaborate with management and supervisors to identify and implement improvements to administrative workflows.
  • Actively participate in team meetings, the staff hiring process, staff inductions, and training sessions.
  • Provide guidance and support to new staff members during onboarding, particularly in administrative processes.
  • Engage in continuous professional development opportunities to enhance your knowledge and skills.

Availability:

  • You must be available to work a minimum of 20 hours per week, spread across 2–3 days, with flexibility to accommodate business needs.

Preferred Experience:

  • Previous experience in administrative or coordination roles, ideally within allied health or a similar sector.
  • Familiarity with clinic database software or customer relationship management (CRM) tools is highly advantageous.
