Project and Administrative support services are required on a large Infrastructure Project. Experience working in infrastructure and construction programs is essential.
Key responsibilities include:
Support the onboarding of Project Team Members.
Support and train the Project Team on the use of standardised templates and documents, how to access those documents and the appropriate processes for updating and managing change to documents. Strong working knowledge of Document Controller systems like Aconex is essential.
Support and maintain the Project’s style guides and templates and reviews documents prior to being issued for review to ensure documents are in accordance with the approved style guide.
Develop and guide the implementation of office procedures in accordance with the applicable filing and record retention requirements.
Coordinate meetings, arranging facilities, equipment, and catering. May prepare and distribute notices, agendas, information packets, and minutes.
Independently maintain a hard copy or electronic calendar for responsible manager(s).
Keeps abreast of key issues, commitments, and priorities of the Program Manager.
Research information and compile summary reports for Project leadership.
Review the accuracy and format of outgoing documents which require manager approval.
Coordinate requests from client, manager, and in-house staff.
Determine action on important or emergency matters or knows whom to contact in absence of manager.
Manage the Project/leave roster and maintains an up-to date account of the location of Project Team Members when at site.
Support the routing of Project documents and expedites reviewers/approvers to complete tasks within required time frames.
